The Role

Gravita is process of moving office so were looking for a Project Assistant (PA) who willplay a crucial role in supporting our tech team andproject managers. Working within the Technology team the PA facilitates efficient communication and updates on project activities to meet business requirements. Youll assist with financial management data consistency risk management vendor management and handling administrative tasks such as arranging meetings audits logistics and report writing. So be ready to roll your sleeves up and jump in as no 2 days will be the same.

Key Responsibilities
  • Assist the Project Manager(s) to develop project plans (Typically Excel Asana)
  • Assist with monitoring the progress of projects keeping plans/logs updated.
  • Collate and review supply chain quotes and assist with vendor management.
  • Working closely with the facilities management team and other service departments
  • Assist with Budget tracking ensuring costs / time is logged against projects.
  • Help with presentation preparation / user guides and support documentation
  • Assist with Audit of technology and assist with information gathering associated with Technology Projects

The ideal candidate

  • Minimum of 1 year experience in a similar role exposure to a technology background would be advantageous
  • Proficient use of the Microsoft suite (Excel Word PowerPoint etc)
  • Experience in handling client and/or Firm sensitivities knowing when to escalate with urgency or how to deescalate certain risks
  • Planning & organisational skills to prioritise work and meet tight deadlines with a Flexible and cando approach to work.
  • Strong communicator good presentation skills possesses strong verbal & written communication skills; also an active listener

The Nitty Gritty
  • Our standard working week is a 37.5hour week there may be the opportunity for some hybrid work but due to the nature of this role we need someone who can remain flexible
  • Core working hours are 10am 4pm Monday to Friday but again some flexibility may be needed in this role
