Our Client, a large intellectual property law firm, is seeking a Client Maintenance Specialist to join our dynamic financial services department. This position is responsible for implementing negotiated client fee arrangements, analyzing, communicating, and ensuring compliance of Outside Counsel Guidelines and supporting the billing, e-billing, and pricing functions.

Responsibilities:

  • Understand the client arrangements cycle thoroughly and manage a wide portfolio of negotiated fee arrangements.
  • Maintenance of timekeeper records.
  • Review and analyze our client fee arrangements to ensure the corresponding billing information is implemented properly in our financial and legal management system.
  • Review, analyze and implement Outside Counsel or billing guidelines received from clients to identify new requirements that will have an impact on the client’s billing process or realization.
  • Communicate the client fee arrangements and billing requirements to appropriate Firm teams and personnel effectively.
  • Conduct root cause analyses to identify opportunities for process improvements and training.
  • Assist with data clean up from the Elite to Aderant conversion to enhance Aderant functionality.
  • Maintain status reports for rejected invoices due to rate errors for the billing and e-billing teams.


Knowledge, Skills, and Abilities:

  • Associates degree required; Bachelor’s degree preferred.
  • Previous law firm or professional services billing experience required; a minimum of 5 years of experience is strongly preferred.
  • Experience with Elite (Enterprise or 3E) or Aderant Expert is required.
  • Familiarity with various e-billing software vendors, such as Serengeti, Collaborati, Passport, BillingPoint, CounselLink, e-Billing Hub or BillBlast is a plus.
  • Demonstrated proficiency in Microsoft Office Suite (including strong knowledge of Microsoft Excel).
  • Ability to understand complex billing arrangements in order to translate those terms into correct E-billing formatting for invoices.
  • Detail-oriented and extremely accurate.
  • Excellent computer skills, strong written and verbal communication skills, and the ability to process computer data and generate reports, is required
