Job Summary
Reporting to the Branch Manager this position will support the service function and act as the first point of contact for customer service related inquires and is responsible for co-ordinating such inquiries and assessing customer requirements/urgency to determine required action plans.
Responsibilities
- Adhere to safety requirements as per company policies
- Respond to customer calls and triage customer requests including status of machines and service work and/or issues that require special attention or escalation
- Assist the Field Service Manager with the daily planning of field techs work assignments by maintaining the master field schedule
- Regular follow-up with technicians as to job status and with customers to provide job completion updates
- Liaise with Parts Department regarding requirements for specific jobs ordering shipping etc.
- Work in conjunction with the Warranty department to support customer warranty and claims issues
- Manage work orders including their opening closing and maintaining to insure accurate and timely invoicing (includes adding labor parts sublets lubricants shop supplies core credits etc.)
- Assist with the preparation of customer quotations warranty claims invoice prep and overall work order administration
- Assist field and shop techs with parts ordering and follow-up for open work orders
- Issue purchase orders as required (i.e for third party parts and services tools etc.)
- Maintain effective accurate reporting data management and record keeping
- Assist and backfill for Service Supervisors and Service Administrators in their absence
- Other duties as assigned
Competencies
- At least 5 years of relevant experience within the Heavy Equipment industry.
- Mechanical Engineering Technologists Red Seal Heavy Equipment or Business Management degree is an asset.
- Administrative skills in heavy equipment industry construction or distributor environment.
- MS Office proficiency service reporting/time entry and invoicing software
- Methodical analytical organized and detail oriented
- Report writing
- Technical knowledge of heavy equipment cranes and construction equipment
- Due diligence and promotion of a Health and Safety culture
- Dynamic team player with a positive attitude
