Your Purpose
Reporting to the Director Donor Funds & Impact the Funding Coordinator supports the Foundations funding administration processes coordinating the lifecycle of funded projects from application intake through review approval award administration reporting and close-out. The role provides administrative and technical support to ensure records are accurate commitments are tracked reporting requirements are met and applicants and funding recipients receive timely support.
Working within the Foundations funding systems and processes the Funding Coordinator maintains documentation and data integrity supports reporting and accountability requirements and coordinates the collection and organization of project outcomes and impact information for stewardship reporting communications fundraising activities and informed engagement with donors and prospects. Complex decisions exceptions or strategic matters are escalated to the Director or other appropriate leaders.
Specific Accountabilities
Funding and Grant Administration
- Coordinate end-to-end funding administration process including application intake completeness checks review coordination approval tracking award documentation reporting and project close-out.
- Lead the administration and delivery of competitive funding programs including supporting application intake reviewer and committee coordination partner and applicant support communications and promotion compliance requirements audit preparation approval processes and post-award administration.
- Maintain accurate project records reporting timelines extension dates distribution requests and schedules correspondence templates and support materials.
- Support amendments extensions project status updates and routine agreement administration by preparing materials tracking approvals and maintaining documentation.
Funding Systems Workflow and User Support
- Utilize the Foundations grant management platform and related tools to coordinate records workflows reviews approvals reporting requirements and documentation.
- Provide routine user support to applicants reviewers funding recipients external administrators and internal users including navigation onboarding resources and issue triage.
- Monitor workflow status data quality and outstanding items and document issues or suggestions for review by the Director or appropriate project lead.
Reporting Impact Information and Accountability
- Track reporting obligations and follow up with funding recipients on interim final financial and impact reporting requirements.
- Coordinate the collection tracking and organization of project outcomes recipient updates and impact information from funding recipients.
- Prepare and maintain project summaries status updates and reporting materials for use by various internal stakeholders ensuring comprehensive records are maintained to support stewardship communications fundraising activities organizational reporting and future information requests.
Internal and External Stakeholder Support
- Coordinate and compile funding-related information across internal teams ensuring accuracy completeness and attention to detail in support of stewardship reporting communications fundraising and other organizational initiatives.
- Respond to routine inquiries related to funded projects distributions reporting requirements agreements fund activity and project status.
- Support the collection and coordination of information required for funding-related proposals project updates reports and other organizational initiatives.
- Maintain accurate and accessible records templates documentation and resources to support consistent practices and cross-functional collaboration.
- Other related tasks and responsibilities as assigned.
Qualifications
Education:
- Post-secondary education in business administration project administration health administration nonprofit administration or a related field is preferred.
- Equivalent combinations of education training and relevant experience may be considered.
Experience:
- Three to five years of relevant experience in administration grant coordination funding administration project coordination research administration nonprofit operations or a similar role.
- Experience coordinating processes with multiple stakeholders deadlines documents approvals and reporting requirements.
- Experience using databases CRM systems grant management platforms workflow tools or other information management systems is an asset.
Skills & Competencies:
- Strong organization attention to detail follow-through and ability to manage multiple timelines.
- Technical aptitude and comfort learning and supporting systems and workflows.
- Comfort working with databases information systems and digital tools with an interest in understanding how systems workflows and data structures connect.
- Strong problem-solving skills with the ability to investigate issues troubleshoot routine system or workflow challenges and recommend practical solutions.
- Clear written and verbal communication skills with a service-oriented and collaborative approach.
- Sound judgment discretion confidentiality and proficiency with Microsoft Office Teams SharePoint and related tools.
