About the role:
We are on a mission to build a world-class team that drives innovation growth and excellence. As we scale rapidly we are looking for a Last Mile Coordinator to join our Production Operations team. This role ensures the smooth accurate and efficient flow of vehicles through the production lifecycle while supporting operational coordination across Production Last Mile and vendor teams. You will help keep our production process on track ensuring sold vehicles are prepared accurately and on time for delivery.

What youll do:

  • Track and update daily weekly and monthly production targets to ensure accurate visibility into performance
  • Monitor overall workflow and vehicle movement through all Production stages
  • Work closely with Production teams to maintain schedules timelines and status updates
  • Support daily team meetings with reporting notes and follow-up actions
  • Schedule vendor appointments confirm booking timelines and ensure vehicles move in and out of vendor queues promptly
  • Track vendor performance turnaround times costs and escalate issues as needed
  • Verify vendor invoices for accuracy before submitting for approval
  • Maintain accurate and up-to-date records including MVI certificates inspection reports detail checklists vendor invoices and production work orders
  • Ensure all required documentation is complete for sold vehicles before handoff
  • Help maintain compliance with provincial regulations related to MVI safety and licensing
  • Prepare daily and weekly production summaries for leadership
  • Update unit status in all trackers spreadsheets and workflow systems (production boards MVI trackers vendor queues etc.)
  • Identify discrepancies data gaps and operational delays and escalate proactively
  • Support communication between Production Field Services and vendors
  • Assist with scheduling coordination and administrative tasks to keep the production floor running smoothly
  • Manage supply inventory for the production office
  • Support cross-departmental needs during peak periods and workflow surges

What were looking for:

  • 23 years of administrative support experience in a professional environment
  • Experience in automotive production manufacturing or operational environments is an asset
  • Experience in project coordination or project management is an asset
  • Strong time-management skills with ability to prioritize tasks meet deadlines and adapt quickly in a fast-paced environment
  • Strong communication organizational and accurate data-entry skills
  • Proficiency with Slack Google Suite Airtable Microsoft Office (Excel Word Outlook)
  • Experience with production inventory or workflow systems is an asset
  • High attention to detail with a proactive solution-oriented mindset
  • Ability to work full-time with flexibility for overtime or adjusted shifts based on business needs
  • Able to pass a criminal background check and provide a clean drivers abstract
