This role provides highlevel administrative support to the Canberra Regional Manager while coordinating thedaytodayoperations of the Canberra areseekinga proactive organised and resourceful professional with the ability to deliver effective administrative support manage office coordination and undertake a range of project administration tasks. A strong focus onidentifyingand implementing process improvements across office operations and administrative functions is essential to enhance efficiency and productivity.
As part of our national administration team you will play a key role in supporting project and administrative activities across the organisation. You will build strong working relationships and collaborate with a broad range of stakeholders including employees at all levels internal teams clients and external service providers.
Key Responsibilities:
- Word processing tasks including proof readingeditingand formatting of a variety of documents from letters and proposals to large complex multi-volume reportsin accordance withthe Umwelt style guide and templates
- Delegating or being delegated tasks within the administration team and ensuring that they are completedin accordance withexisting policies and procedures as well as the Quality Management System processes
- Liaise with employees vendorsclientsand suppliersregardingall administration information
- Supporting employees byfacilitatinginterdepartmental communications and interactions between internal and external parties
- Assistingwith special projects such as process improvements
- Provide assistance tostaff managers and seniorlevel officers as needed
- Workingin accordance withtimelines and tasks supplied via the Administration Ticket Desk in Umwelts SharePoint system
- Diary management for senior leader in the Canberra office
- Schedulingattendingand taking minutes in team meetings
- Expense and timesheet allocation
- Travel bookings and mobilisationassistanceincluding induction requirements
- Providing general administrative support to the Canberra team and to other teams/offices as directed by the National Administration Manager
- Undertake data entry mail mergetasksand PowerPoint presentations
About You:
The successful applicant for this position will be a highly motivated and enthusiastic Administrator experienced in the below areas:
- Minimum3 years of experience in a similar role preferrable within a professional services firm
- Strong attention to detail with excellent verbal and written communication
- Ability to work under pressure to strict deadlines prioritisingtasksand coordinating others to ensure deadlines are met
- High degree of professional integrity and takes pride in the quality of work with a strong ownership of responsibilities/accountabilities
- Be inquisitive to improve and seek opportunities to enhance presentation and quality of documents
- Advanced skills in Microsoft applications: Word PowerPoint ExcelCo-Pilotand Outlook
- Advancedproficiencyin Adobe Acrobat
