Role Purpose
The Executive Support Officer (Administration) provides high-level administrative coordination and executive support to the CEO and senior leadership team. The role is critical in enabling effective governance executive decision-making and organisational performance within a primary healthcare environment.
The position requires professionalism discretion initiative and a strong understanding of confidentiality governance and stakeholder engagement in healthcare and community services.
What Youll Do
Executive Support
- Provide high-level administrative support to the CEO and senior leadership including diary management meeting coordination and correspondence management.
- Anticipate executive needs and proactively manage priorities to ensure efficient use of executive time.
- Prepare format and coordinate executive correspondence briefs reports and presentations.
- Act as the first point of contact for the executive office ensuring professional responsive and respectful communication.
Governance & Board Support
- Coordinate board and executive meetings including agenda preparation papers collation minute-taking and follow-up of actions.
- Support governance processes in line with organisational policies funding requirements and regulatory obligations.
- Maintain accurate and confidential records in accordance with records management and privacy requirements.
Administration & Coordination
- Coordinate executive travel accommodation and logistics as required.
- Support corporate administration functions including executive document control policy management and reporting timelines.
- Assist with accreditation audits and compliance reporting where required related to corporate functions.
- Monitor deadlines and ensure timely completion of executive and organisational commitments.
Stakeholder Engagement
- Liaise professionally with internal and external stakeholders including clinicians managers board directors community partners and government agencies.
- Support effective communication between executives and stakeholders while maintaining confidentiality and sensitivity.
- Manage challenging or sensitive interactions with professionalism and sound judgement.
Who You Are
- Diploma of Business Administration Management or Project Management
- Demonstrated experience providing high-level executive or senior management support.
- Strong organisational time management and prioritisation skills in a fast-paced environment.
- Excellent written and verbal communication skills including preparation of executive-level documentation.
- Demonstrated ability to handle confidential and sensitive information with discretion and integrity.
- Experience supporting governance processes such as board or committee meetings.
- High level of attention to detail and accuracy.
- Strong interpersonal skills with the ability to engage respectfully with diverse stakeholders.
Essential Requirements:
- Current Western Australian Drivers Licence
- National Police Clearance
- Pre-Employment Health Assessment
