    Job Description

    The Administrative Officer will support the overall administrative focused activities and general office management of the Jordan office under the direction of the Human Resources & Administrative Manger.

    Principle Tasks And Responsibilities

    Logistics
  • Manager the logistics team including drivers/office helpers including workout puts, attendance, timesheet submittal, performance and oversee logbooks are kept in good order.
  • Provide logistical support, transportation needs and all business travel arrangements for office personnel, outside consultant field trips and stakeholder, client and project events, workshops & business meetings which includes: (Hotel reservations, airport Pick up/drop-off for international / or local travelers, staff coming from/to Jordan for business in coordination and approval of HR & Administrative Manager.
  • Arrange logistics (meetings space, refreshments, supplies, clean up, etc) for Business meetings/workshops/seminars with client’s (USAID, etc.) and staff meetings.
  • Ensuring vehicles are kept in roadworthy condition and drivers are trained in road safety and operation.
  • Ensure vehicles are licensed/registered and insured and arrange for renewals as required. Support renewal of project vehicles licensing and insurance and ensure all are following contract and local regulations.
  • Oversee vehicle logistics including safety, security, documentation with use of the vehicle fleet in accordance with company policies and procedures.

  • Immigration/Expatriate
  • Support the visa, residency and work permits needs of business visitors and expatriate assignees in Jordan.
  • Coordinate with shipping and clearance agency for shipping expatriates' household furniture to/from Jordan.
  • Prepare/Support Lease Agreements for expatriate apartments and follow up on renewals.

  • General Administrative
  • Responsible for correspondence archiving, filing system and ensuring electronic and hard copies of business documents are organized in the hard-copy and digital project files in accordance with our project archiving system.
  • Format various types of correspondence and reports for style consistency and accuracy, proofreading for grammar, punctuation and spelling.
  • Assist with translation from Arabic to English and vice versa upon request.
  • Track and monitor the office equipment, E-Equipment and furniture in Inventory system and update the status of items and maintain the inventory records on regular basis.
  • Ensure the timely completion of company training requirements and performance assessment for non-computer using employees.
  • Support the monthly leave accrual review (earned leave time) in collaboration with Accountant and Finance on the month closing period.
  • Responsible for office procurement process starting from receiving Procurement Request Form, getting written quotations & purchase order issuance in compliance with CDM Procurement policy.
  • Responsible for security and documentation of project petty cash in coordination with office accountant.
  • Support other general administrative tasks requested by the supervisor, team leads or management that align with general expectations of this position.

  • Minimum Qualifications
  • Bachelor’s degree in business administration, or any other related field from an accredited university.
  • Minimum of 4 years of related experience in the administration field, though 6 years are preferred.
  • Demonstrated success to manage multiple, time-sensitive tasks with excellent attention to detail, follow-through and with a professional attitude.
  • Ability to work as a team-player within a globally diverse organization and external clientele/stakeholders.
  • Computer literacy with MS Office programs experience
  • Advanced communication skills with Excellent written and/ oral in English and Arabic.
  • Work authorization in Jordan is required.

  • Preferred Qualifications
  • Preferred experience with multinational Firms, INGOs or non-profit organizations.
  • Experience with USAID is an advantage
