Position Overview
We seek a highly organized Administrative Assistant to ensure seamless operational support across our international organization. This critical role maintains the efficiency of daily operations through precise coordination documentation management and cross-departmental support in a fully remote environment.
Tasks
Key Responsibilities
Operational Coordination:
- Track and manage domestic/international shipments to guarantee timely delivery
- Monitor operational expenses and maintain accurate financial dashboards
- Process expense reports and support budget tracking activities
Document Management:
- Maintain and organize contracts administrative files and compliance documentation
- Ensure proper version control and accessibility of critical business documents
- Support document compliance according to company standards
Administrative Support:
- Coordinate complex international travel arrangements (flights accommodations itineraries)
- Schedule cross-departmental meetings and manage executive calendars
- Serve as primary point of contact for interdepartmental coordination requests
Process Optimization:
- Identify opportunities to streamline administrative workflows
- Implement improvements to enhance operational efficiency
- Maintain accurate records of operational procedures
Requirements
Essential Requirements:
- Bachelors degree in Business Administration or related field
- Minimum 2 years experience in administrative or operations roles
- Language proficiency: French (C1) English (B1-B2)
- Advanced skills in Microsoft Office Suite (Excel Word PowerPoint)
- Demonstrated ability to manage competing priorities with exceptional attention to detail
- Proven experience working effectively in fully remote environments
