Reporting Line:
Reporting to the Executive Assistant (EA) of the CEO Office the Office Manager is responsible for the effective coordination and day-to-day operations of the Hanoi office.

This role requires a highly organised detail-oriented and dependable individual who can ensure the office operates smoothly efficiently and in compliance with company standards and local regulations.

Major Responsibilities

OFFICE / FACILITIES MANAGEMENT

  • Ensure the smooth and consistent day-to-day running of the office
  • Maintain office facilities ensuring compliance with local safety and regulatory requirements
  • Coordinate vendors and service providers (cleaning security maintenance etc.)
  • Monitor office supplies equipment and maintenance schedules
  • Manage office-related budgets and expenses with a focus on cost control and accuracy
  • Maintain a safe organised and professional working environment
  • Act as the primary point of contact for building management and service providers

ADMINISTRATIVE MANAGEMENT

  • Provide structured administrative support to the Hanoi office and leadership where required
  • Coordinate meetings office activities and internal communications
  • Maintain accurate records documentation and reporting (contracts compliance vendors)
  • Support onboarding and offboarding processes in coordination with HR
  • Ensure administrative processes are followed consistently and accurately
  • Support internal compliance governance and audit requirements

  • Assist with logistics for leadership visits meetings and events
  • Support cross-functional coordination with global teams
  • Assist with ad hoc projects and operational tasks as required

Qualifications Skills & Attributes

  • Proven experience in office management administration or workplace operation
  • Knowledge of Facilities Management methods and best practices.
  • Strong organisational and time management skills
  • High attention to detail and accuracy
  • Strong communication and interpersonal skills
  • Ability to manage multiple priorities in a structured manner
  • A familiarity with legislation in the areas of supplier management Health and Safety and government office legislation.
  • Familiarity with compliance health & safety or workplace standards preferred
