Job Summary

Working Time: Monday Friday 08:30 17:30
Salary Range: 13 18 million VND/month

About the Role

We are seeking a proactive and detail-oriented Crew Support Executive to join our HR & Administration Department. This role is responsible for providing comprehensive administrative and operational support to flight crew members ensuring smooth coordination of crew logistics welfare documentation compliance and daily operations.

The position plays a critical role in maintaining crew satisfaction regulatory compliance and efficient flight operations.

Key Responsibilities
1. Crew Coordination & Administration
  • Maintain and update crew records including licenses visas work permits medical certificates and other personnel documentation.
  • Coordinate onboarding and offboarding procedures for flight crew members.
  • Ensure crew files are complete accurate and up to date.
  • Support administrative processes related to crew employment and assignments.
2. Travel & Logistics Support
  • Arrange flight tickets accommodation transportation SIM/data services visas and work permits for crew members.
  • Coordinate crew travel schedules and movements in accordance with operational requirements.
  • Liaise with travel agencies hotels transportation providers and other service vendors.
  • Monitor and process travel-related expenses and ensure timely and accurate payments.
3. Crew Welfare & Employee Support
  • Serve as the primary point of contact for crew inquiries and support requests.
  • Assist crew members with personal and professional matters that may impact their work and well-being.
  • Support employee engagement initiatives and contribute to maintaining positive crew relations.
  • Coordinate welfare programs and activities for flight crew members.
4. Compliance & Reporting
  • Ensure all crew documentation complies with aviation regulations and company policies.
  • Monitor document validity and proactively coordinate renewals before expiration.
  • Prepare reports related to crew status operational support activities and associated costs.
  • Work closely with government authorities regarding immigration procedures visas work permits and regulatory compliance requirements.
5. Additional Responsibilities
  • Support company events including team building activities year-end parties internal training programs and employee engagement initiatives.
  • Perform other duties as assigned by the HR & Administration Manager and Board of Management.
Reporting Line

Reports to: HR & Administration Manager

Working Relationships
Internal
  • Collaborate with all departments across the company.
External
  • Coordinate with suppliers and service providers for bookings and payments.
  • Work with relevant government authorities on visa immigration and work permit procedures.
Qualifications & Requirements
Education
  • College degree or higher.
  • Major in Human Resources Law Business Administration or related fields is preferred.
Experience
  • Minimum 2 years of experience in HR Administration Employee Services Mobility Support or related functions.
  • Experience handling expatriate visa and work permit processes is highly preferred.
Skills
  • Good command of English both written and spoken.
  • Proficient in Microsoft Office applications particularly Excel Word and PowerPoint.
  • Strong organizational coordination and administrative skills.
  • Good communication and interpersonal skills.
  • Effective problem-solving abilities and attention to detail.

Preferred Qualifications
  • Solid knowledge of visa immigration and work permit procedures for expatriates in Vietnam.
  • Experience working with foreign employees aviation logistics hospitality or multinational environments is an advantage.
