We are seeking a motivated and detail-oriented Virtual Assistant / Administrative Support Specialist to join our remote team. This role is responsible for providing administrative assistance client support scheduling coordination and general operational support in a remote work environment.

Key Responsibilities

  • Respond to client inquiries via email phone chat and other communication platforms in a professional and timely manner
  • Manage calendars appointments and scheduling requests
  • Perform data entry and maintain accurate records and documentation
  • Assist with customer service inquiries and client follow-up communications
  • Coordinate meetings and maintain organized schedules for internal teams and clients
  • Prepare reports correspondence presentations and other administrative documents as needed
  • Monitor and organize incoming communications and prioritize tasks appropriately
  • Update and maintain CRM systems databases and internal records
  • Support project coordination and administrative workflows across departments
  • Identify and resolve routine client concerns while escalating complex issues when appropriate
  • Maintain confidentiality when handling sensitive company and client information

Required Qualifications

  • High school diploma or equivalent
  • Strong written and verbal communication skills
  • Excellent organizational and time-management abilities
  • Strong attention to detail and accuracy
  • Ability to work independently in a remote environment
  • Proficiency with Microsoft Office Google Workspace and common business software applications
  • Reliable internet connection and dedicated workspace
  • Ability to manage multiple tasks and deadlines effectively

Preferred Qualifications

  • Previous experience in administrative support customer service virtual assistance or office administration
  • Experience using CRM systems scheduling software or project management tools
  • Familiarity with Zoom Microsoft Teams Slack or similar communication platforms
