Job Summary

JOB OVERVIEW:

Under the guidance of the Pool & Beach Leaderhsip Team The VIP Host Coordinator plays a key role in delivering a highly personalized and seamless guest experience serving as the liaison between VIP guests hotel operations and internal departments. This role is responsible for coordinating arrivals preferences special requests reservations amenities and experiences for high-profile and luxury guests while ensuring all interactions reflect the hotels standards of discretion intuition and exceptional service.

 

YOUR KEY RESPONSIBILITIES:

  • Maintain detailed guest profiles preferences notes and special occasions within internal systems.
  • Coordinate with Sales Membership and Executive teams regarding hosted guests celebrities influencers ownership and special visitors.
  • Assist with special events activations and high-profile experiences within the hotel.
  • Communicate directly with guests regarding reservations pricing minimum spends arrival times and venue policies.
  • Respond promptly and professionally to guest inquiries requests and concerns while maintaining confidentiality and discretion at all times.
  • Maintain organized reservation records including deposits confirmations special requests and guest preferences.
  • Host and welcome VIP guests upon arrival and ensure smooth table seating and service coordination.
  • Build and maintain relationships with repeat clientele hotel guests influencers and high-value guests.
  • Work closely with VIP Hosts Promoters Security and Operations teams to ensure seamless guest flow and table readiness.
  • Assist in driving table sales and maximizing revenue opportunities through upselling and guest engagement.
  • Ensure all reservations are properly plotted and updated in POS System prior to venue opening.
  • Handle guest concerns or special requests professionally and efficiently while maintaining luxury hospitality standards.
  • Monitor reservation pacing and communicate updates regarding occupancy and VIP arrivals to management.
  • Maintain knowledge of all menus pricing entertainment schedules promotions and venue offerings.
  • Ensure all standards and guest expectations are met at all times.
  • Maintain a professional appearance and demeanor reflective of the venue brand.
  • Performs opening running and closing duties related to VIP operations and reservations.
  • Understand the operational setup and principles of the venue.
  • Any other reasonable duties assigned by management.
  • We recognize we are in the hospitality industry and that may require us to provide lateral service. Team Members may be asked to perform various related tasks in the spirit of providing exceptional guest service.

Qualifications :

SPECIFIC JOB KNOWLEDGE & SKILLS:

  • High school diploma or equivalent education required; Bachelors degree preferred.
  • Minimum 1- 2 years in hospitality VIP services or reservations role within an upscale or luxury lifestyle brand hotel or similar environment.
  • Strong understanding of VIP service standards and protocols with experience working closely with high-profile guests.
  • Excellent interpersonal skills with the ability to communicate clearly and professionally in English both verbally and in writing.
  • Ability to anticipate guest needs maintain discretion and handle sensitive situations with tact and diplomacy.
  • Knowledge of hotel operations related to guest services concierge and food & beverage is a plus.
  • Physically able to stand or walk for extended periods (minimum eight-hour shifts).
  • Quick reflexes attentiveness and the ability to multitask effectively under pressure.
  • Ability to twist reach bend push pull and carry objects as required.
  • Capacity to consistently push or move items weighing 20lbs or more.
  • Commitment to upholding health safety and hotel policy standards at all times.
  • Working knowledge of federal state and local laws governing equal employment opportunity and civil rights occupational safety and health wage and hour issues and labor relations.
  • Additional language ability preferred.
  • All team members must maintain a neat clean and well-groomed appearance. Specific department  uniform guidelines and/or required articles of clothing will be explained to you by your supervisor.
