The Mailroom Supervisor will oversee the day-to-day functions of a team of 15-20 who process received mail and payments and perform bank lockbox extractions. The supervisor will be responsible for ensuring optimal team performance through coaching and continuous training.
Major Responsibilities/Activities
Directly responsible for maximizing and tracking team performance
Ensure all employees have the necessary tools to be successful in their roles
Conduct one on one meetings to review performance and set goals
Support employee engagement growth and development
Track daily deposits and oldest mail dates making impromptu changes to priorities as needed to ensure client deliverables and turnaround times are met or exceeded
Reconcile bank deposits and chain of custody
Track all client specific one-off functions monitoring for accuracy and completion
Reconcile bank lockboxes for accuracy
Create job aids and tools to prevent errors
Ensure all aspects of new client deployments are completed and updated on the deployment tracking tool
Provide direct client support by maintaining appropriate lines of communication with clients resolving escalated issues or determining appropriate internal resource for resolution
Develop and facilitate best practices for time management and accuracy for Mailroom functions
Ensures all employee time is accurately recorded in ADP including PTO Holiday time punches monitoring overtime usage and approving payroll
Consistently supports and demonstrates the company mission and values
Other Responsibilities/Activities
Mandatory Saturday overtime when the last day of the month falls on the weekend
Recruit top performers to fill open positions
Create and/or strengthen direct client relationships
Locate missing payment remits
Requirements
Required Education Skills & Experience
High School Diploma
Intermediate to expert excel skills including file manipulation and creation
Strong effective and professional written and verbal communication skills.
Previous medical billing and/or account reconciliation experience
Ability to collaborate effectively with multi-departmental and diverse teams to achieve results
Highly organized with ability to be proactive manage time and prioritize work
Willing and able to adapt to changes in work environment procedures priorities schedule and job duties
Preferred Education Skills & Experience
Understanding of Medicare Medicaid commercial and patient reimbursement/billing and HIPAA
Banking or Payment Posting reconciliation experience
Previous Leadership Experience

Pay range:$61000 - $65000 annually with final compensation based on the candidates qualifications experience and business needs.
