Statement of Work Details
Coordinates the recruitment scheduling travel and admission of research study participants.
- Coordinate patient schedules with testers nurses physicians and clinical research coordinators.
- Coordinate the recruitment scheduling travel and admission of research study participants with clinical staff.
- Work with staff to coordinate new research patient screening appointments procedures and imaging studies between protocol investigators and the outpatient clinic scheduling personnel.
- Collaborate with the Protocol Office Staff PIs and Coordinators to establish recruitment strategies; comply with regulations and guidelines.
- Coordinate with clinical services for scheduling screening visits; communicate to all relevant clinical personnel regarding screening dates and times
- Explore opportunities for recruitment within the community in compliance with HIPAA guidelines; prepare periodic and ad-hoc reports of recruitment efforts
- Create and update operating procedures for recruiting functions.
- Plan and execute scheduled and ad hoc recruitment meetings.
Distributes recruitment materials.
- Participate in community outreach activities in recruitment areas to encourage participation in study.
- Distribute patient recruitment and communication materials.
- Compile promotional materials for meeting exhibits and presentations special events and other events.
- Distribute fliers research and place advertisements in suitable media.
- Develop and modify advertising media (print ads on-line ads and mailings) to recruit research participants as mandated by protocol stipulations
- Coordinate with advertising media outlets to place advertisements
- Create and/or coordinate the production of brochures flyers and posters necessary for recruitment efforts.
- Serve as a representative of the NIA to community groups research groups and other outside the NIA
Acts as a liaison between participants participants relatives and staff members and communicates participants questions complaints problems and concerns to appropriate staff members.
- Triage questions to appropriate personnel in the team as necessary.
- Respond to incoming and outgoing calls and emails relating to specific studies as determined by PIS CRCs and Recruiters; maintain daily tracking logs; coordinate accurate data entry of all.
- Maintain confidentiality of patient information consistent with regulations and guidelines
Explains policies and procedures to participants and refers them to appropriate staff.
- Respond to communications with research subjects; direct questions to appropriate team member. 5
Collates enters and maintains data collected on participants.
- Ensure consistency in records data and datasets in accordance with regulatory requirements.
Coordinates new patient referrals by obtaining pertinent information and forwarding it for review.
- Provide lists of potential research volunteers to principal investigators based on database searches against protocol criteria. 3
- Refer prospective volunteers per study guidelines to the appropriate Institute contact person. 4
May assist in preparing credentialing packages.
- Work with staff on preparation of credentialing packets for clinical staff.
Monitors workflow and administers and revises processes to maintain and improve operations.
- Work with staff to achieve optimum schedule and staff utilization; work with staff in problem solving for overlapping appointments. 1
- Review future scheduled cases to resolve potential conflicts or problems; monitor additional reports to ensure data validity. 2
Mentors and trains staff on patient recruitment and coordination processes and procedures.
- Work with staff on mastery of understanding of active NIA protocols eligibility requirements recruitment needs and priorities of studies knowledge of IRB regulations for recruitment of human subjects for research
