This position supports the Business Office and is a 226 day position.
Primary Purpose:
Under moderate supervision respond to inquiries from staff students parents and the public; provide requested information and/or referral to the appropriate parties; direct visitors; and provide general clerical support for the efficient operation of the central administration office.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Effective public relations organization communication and interpersonal skills
Ability to speak read and understand English and speak Spanish (preferred not required)
Proficient in keyboarding data entry and file maintenance
Effective organization communication and interpersonal skills
Ability to effectively present information in one-on-one situations
Ability to read and comprehend verbal and written instructions
Ability to operate multi-line phone system
Experience:
Three years of clerical experience in an office setting
Major Responsibilities and Duties:
Reception and Phones
Receive and direct incoming calls take reliable messages and route to appropriate staff.
Greet visitors (e.g. public parents students substitutes vendors etc.) and respond to their inquiries and/or direct them to appropriate personnel in accordance with district policies and procedures regarding building security.
Maintain visitor log and issue visitor passes.
Respond to emergency calls and notify appropriate parties to address immediate safety and/or security issues.
Receive deliveries and disseminate materials and information to the appropriate parties.
Assist public staff and students as needed.
General Business Functions
Input accounting data into automated accounting system using personal computer. Accounting data may include but is not limited to: vendor information accounts receivable etc.
Assist and/or oversee various accounting functions as assigned.
Prepare and maintain all records associated with district accounts receivable and deposits.
Maintain vendor files and set up new accounts when changes occur.
Keep informed of and comply with state and district policies and regulations concerning primary job functions.
Other
Maintain computerized files using personal computer including reports employee roster and mailing lists.
Assist with preparation and distribution of materials for mailing including preparing labels stuffing envelopes etc.
Maintain the district calendar for facilities use the bulletin board etc.
Maintain emotional control under stress; work with frequent interruptions. Continuous sitting.
