Job Summary
KPFF Seattles Transportation Team focuses on designing infrastructure that moves people and connects communities across the region. We work on a wide range of transit and transportation projects including roadway and trail improvements fish passage enhancements and major infrastructure efforts throughout the Puget Sound and Pacific Northwest. Our projects are Community-Focused and emphasize pedestrian and bicycle safety multimodal accessibility ADA compliance and context-sensitive solutions shaped by the communitys needs. We collaborate closely with public agencies transit authorities contractors and fellow engineers to deliver thoughtful solutions that improve mobility and public infrastructure.
Our Seattle office is seeking a Project Coordinator with at least three (3) years related experience to join our Transportation Engineering group. Under the general supervision of the project manager or principal the Project Coordinator will support the successful delivery of projects and invoicing needs for public agencies and private clients through a range of coordination and administrative tasks. Working closely with our Accounting team this role requires adherence to KPFFs standard operating procedures and policies related to project coordination and administration.
This role is well suited for a proactive high-energy individual who enjoys; working with people communicates clearly can manage multiple priorities think on their feet and solve problems effectively.

Responsibilities:
- Prepare and review project invoices and progress reports.
- Review and process project subconsultant invoices.
- Correspond with clients and subconsultants.
- Set up new project folders and oversee the maintenance of project files.
- Support preparation of subconsultant agreements.
- Organize and manage project budgets.
- Provide general support to project managers and principals
- Provide backup for other administrative staff.
- Support project contract preparation and subsequent amendments/supplements.
- Coordinate and schedule project meetings and prepare meeting agendas and minutes.
- Format and performing quality reviews of large and small documents such as reports letters memos minutes etc.
- Coordinate the production and distribution of deliverables to the client.
Qualifications :
Minimum Qualifications:
- 3 years experience with invoicing and project contract administration as well as general accounting practices such as Accounts payable/Accounts receivable (AP/AR).
- Proficient in Outlook Word Excel and MS Project
- Excellent written and verbal communication
- Demonstrated ability to work effectively in a team environment
- Passionate about providing exceptional client service
Desired Qualifications:
- Experience with public sector contracting and invoicing procedures
- Previous experience in the architectural/engineering/construction industry
- Working knowledge of PowerPoint SharePoint Bluebeam and Smartsheet
Additional Information :
Physical Demands:
- Duties are primarily conducted in a standard office setting requiring prolonged periods of sitting at a desk or computer table.
- Occasionally may be required to lift objects weighing up to 15 lbs.
- Occasionally visiting project locations and performing field inspections which may involve walking standing kneeling or navigating uneven terrain.
- Traveling to project sites or client meetings which may involve driving or flying.
Compensation:
The base salary for this role is competitive and will be determined based on the candidates experience education and skills. The expected pay for a qualified candidate is $40.00 - $45.00 hourly
