The Office Assistant / Coordinator is responsible for providing administrative clerical and operational support to ensure efficient day-to-day business functions. This role coordinates schedules manages communications maintains records and supports organizational workflows in a fully remote environment.
The Office Assistant / Coordinator works closely with leadership internal departments and team members to maintain organization efficiency and effective communication across the company.
This is a fully remote position; however applicants must currently reside in the United States and be legally authorized to work in the U.S. Applications from individuals residing outside the United States will not be considered.
Key Responsibilities
Provide administrative and operational support to internal teams and leadership
Coordinate calendars appointments meetings and scheduling activities
Maintain digital records files and documentation systems
Respond to emails phone calls and internal communications professionally
Assist with data entry reporting and document preparation
Coordinate virtual meetings and maintain meeting notes when required
Support onboarding workflow coordination and operational processes
Track office-related expenses invoices and administrative records
Maintain confidentiality of company and client information
Assist with special projects and departmental initiatives as assigned
Required Qualifications
High school diploma or equivalent required; associate or bachelors degree preferred
14 years of experience in administrative support office coordination or operations assistance
Strong organizational and multitasking skills
Excellent written and verbal communication abilities
Proficiency in Microsoft Office applications including Word Excel Outlook and PowerPoint
Strong attention to detail and time management skills
Ability to work independently in a remote environment
Strong problem-solving and customer service skills
Preferred Qualifications
Experience with collaboration tools such as Microsoft Teams Zoom or Google Workspace
Familiarity with project management tools such as Asana Trello or
Experience supporting remote or hybrid teams
Basic bookkeeping scheduling or records management experience preferred
