Job Summary

Phone Outreach & Lead Follow-Up

  • Execute daily outbound call campaigns to prospective families from the enrollment CRM following up on inquiries applications and event interest.
  • Conduct warm and cold outreach to leads generated through fairs tabling referrals and digital campaigns.
  • Track call outcomes disposition leads accurately in the CRM and flag families requiring escalated support to the Recruitment Manager.
  • Meet weekly call volume and conversion benchmarks set by the Senior Director.
  • Provide excellent customer service on inbound calls answering questions about programs the lottery process enrollment timelines and next steps.
  • Conduct follow-up sequences (call text email) to move families through the enrollment funnel from inquiry to application to acceptance.

Community Tabling & Grassroots Outreach

  • Represent KIPP at community locations including grocery stores libraries rec centers churches laundromats and other high-traffic family destinations.
  • Set up and manage recruitment tables and engaging community members in conversations about KIPP schools and enrollment opportunities.
  • Distribute flyers collect contact information and enter new leads into the CRM promptly after tabling sessions.
  • Identify and recommend new tabling locations and community partnerships that can expand enrollment pipelines.
  • Work flexible hours including evenings and weekends to maximize community visibility during peak outreach periods.

Event Coordination & Execution

  • Plan and execute recruitment events including open houses school tours information sessions and community fairs.
  • Manage all logistics for events: venue setup materials preparation RSVP tracking day-of coordination and breakdown.
  • Collaborate with the Marketing team to ensure events are promoted effectively across digital and print channels.
  • Serve as the on-site point of contact at events welcoming families and guiding them through the information and enrollment steps.
  • Track event attendance gather family feedback and report results to the Recruitment Manager and Senior Director.
  • Coordinate with school-based staff and operations teams to facilitate smooth school visit experiences for prospective families.

Data Management & Reporting

  • Maintain accurate up-to-date records for all prospective families in the enrollment CRM 
  • Log all outreach activities calls table contacts event attendees in a timely and organized manner.
  • Prepare weekly activity reports for the Senior Director summarizing outreach volume lead conversion and event outcomes.
  • Monitor application statuses and proactively follow up with families on missing documentation or incomplete steps.

Qualifications :

Required Education and Experience

  • High school diploma required; Associates or Bachelors degree preferred or equivalent experience in admissions outreach sales or community engagement.
  • Minimum 12 years of experience in a role involving direct community outreach phone-based customer engagement event coordination or admissions support.
  • Experience working with diverse communities in South Florida and demonstrated cultural competency.
  • Bilingual English/Spanish required.

Skills and Abilities

  • Familiarity with charter school enrollment processes a plus but not required
  • Confident and persuasive communicator on the phone and in person with the ability to engage families across diverse backgrounds.
  • Strong organizational skills and ability to manage a high volume of outreach activities simultaneously.
  • Experience in event planning coordination and day-of execution.
  • Proficiency in Microsoft Office Suite and CRM/enrollment systems (e.g. SchoolMint Salesforce or similar).
  • Ability to work independently in field settings with minimal day-to-day supervision.
  • Flexibility and availability to work evenings and weekends as required.
  • Bilingual English/Spanish required must be able to conduct full conversations and outreach in Spanish with Miami-Dade families.
  • Ability to build authentic trust and rapport quickly with prospective families in community settings.
  • Comfortable working in dynamic fast-paced environments with shifting daily priorities.
  • Willingness to pivot strategies and channels based on data insights and Senior Director feedback.
  • High level of energy reliability and follow-through

Physical Requirements

The usual and customary methods of performing the jobs functions require the following physical demands:

  • Significant field-based work: standing and engaging at community tabling locations for extended periods.
  • Travel throughout Miami-Dade County for tabling events and school visits; valid drivers license and reliable transportation required.
  • Ability to carry and set up event/tabling materials (tables banners printed materials).
  • Prolonged periods on the phone and at a computer during call campaigns and data entry.
  • Evening and weekend availability required for community events and tabling shifts.
