Position Summary
Little Angels PPEC is seeking an organized and detail-oriented Intake & Billing Coordinator to join our growing team. This role serves as a key point of contact for prospective and current families while also supporting billing insurance verification prior authorizations and revenue cycle operations.
The Intake & Billing Coordinator will guide families through the enrollment process educate parents on PPEC services and insurance coverage coordinator admissions assist with therapy and PPEC billing processes and ensure timely and accurate reimbursement. This role requires excellent communication skills strong attention to detail and the ability to manage multiple priorities in a fast-paced healthcare environment.
This position will be based at our Apopka location.
Responsibilities
Intake & Admissions
Serve as the primary point of contact for prospective patient families.
Answer incoming calls and respond to inquiries regarding PPEC services.
Schedule appointments for tours and new patient assessments
Conduct tours for prospective families.
Educate families on PPEC eligibility requirements services and enrollment procedures.
Collect required medical insurance and demographic documentation.
Maintain accurate patient records and intake documentation.
Communicate with physician offices case managers hospitals and community partners regarding referrals and admissions.
Assist families with navigating Medicaid and managed care plans.
Provide ongoing communication and support throughout the enrollment process.
Insurance & Prior Authorizations
Verify insurance eligibility and authorization status
Review Medicaid managed care plans and coverage requirements
Submit and track prior authorization requests
Monitor authorization expiration dates and renewal requirements.
Follow up with case managers and insurance companies regarding pending authorizations.
Maintain accurate authorization records and documentation.
Billing & Revenue Cycle
Perform PPEC billing processes.
Perform therapy billing processes.
Review billing information for accuracy and completeness.
Resolve billing discrepancies and claim issues.
Follow up on denied or unpaid claims.
Communicate with insurance representatives regarding claim status.
Maintain billing records and supporting documentation.
Family Support & Communication
Educate families regarding insurance plans benefits and authorization requirements.
Communicate effectively with parents regarding enrollment status documentation needs and coverage questions.
Provide ongoing support and guidance to families throughout their childs participation in PPEC and therapy services.
Maintain professional and compassionate communication at all times.
Administrative Support
Answer incoming calls and route inquiries appropriately.
Maintain organized patient files and records.
Support operational projects as assigned.
Perform other duties as needed to support center operations.
Requirements
Required Qualifications
Excellent organization and time management skills.
Ability to manage multiple tasks and priorities simultaneously.
Strong written and verbal communication skills.
Preferred Qualifications
Experience working in a PPEC healthcare therapy clinic hospital or medical office setting.
Experience with Medicaid and managed care plans.
Experience with insurance verification and prior authorizations.
Experience with medical billing and claims follow-up.
Experience with EMR and billing software.

Required Skills:
BLS or CPR Certification Experience with Electronic Health Records Experience in pediatrics preferred Must be willing and able to work at both Longwood and Apopka as required
