About the Role
We are seeking a highly organized proactive Executive Assistant to support the Owner of a growing residential construction and development company. This role is responsible for managing executive communications schedules project documentation and administrative operations while helping keep multiple projects and priorities moving forward.
Responsibilities
Manage executive calendar meetings and travel arrangements
Coordinate calls emails and executive correspondence
Track action items deadlines and leadership follow-ups
Organize and maintain project documentation across multiple active projects
Assist with project coordination and administrative support
Prepare reports spreadsheets contracts and proposals
Serve as a liaison between leadership clients architects consultants and vendors
Coordinate leadership meetings and company events
Develop and improve administrative processes and workflows
Anticipate needs and proactively solve problems before they arise
Assist with reviewing materials tracking deliverables and ensuring deadlines are met for Showcase/Parade of Homes initiatives.
Qualifications
5 years of Executive Assistant Project Coordinator Office Manager or similar experience
Strong organizational communication and multitasking skills
Ability to work independently and manage competing priorities
Proficiency in Microsoft Office (Outlook Excel Word PowerPoint)
Experience supporting senior leadership or business owners preferred
Construction real estate development or project management experience preferred
Experience with Buildertrend Procore or similar software is a plus
