Job Purpose
The Executive Assistant provides high-level administrative and operational support to the Chief Operating Officer ensuring efficient day-to-day workflow effective prioritization and seamless communication across the organization. This role is critical to maintaining operational cadence supporting leadership effectiveness and enabling strategic execution in a fast-paced high-growth healthcare technology environment.
Key Responsibilities
Essential Duties
Own and manage the COOs calendar prioritizing time based on evolving business needs and strategic priorities.
Coordinate complex internal and external meetings including agenda preparation logistics note-taking and follow-through on action items.
Triage incoming communications and requests ensuring timely responses and routing to appropriate stakeholders.
Draft edit and prepare high-quality documents presentations and reports for executive and external audiences.
Process expense reports and manage administrative workflows on behalf of the COO.
Serve as a key point of contact for direct reports cross-functional partners and external stakeholders.
Coordinate leadership meetings offsites and team events to support organizational alignment and engagement.
Handle sensitive and confidential information with a high degree of discretion and sound judgment.
Proactively identify needs anticipate challenges and implement solutions to keep executive priorities on track.
Other Functions
Support broader office coordination and administrative activities as needed.
Provide backup support for other administrative functions during peak periods or absences.
Assist with special projects and cross-functional initiatives as assigned.
Performs other related duties as assigned to support operational and business needs.
