RESPONSIBILITIES
Maintains calendars for 3 Senior Executives
Schedule meetings conference calls and video conferences
Manage travel arrangements
Manage executive expenses and enter information in software for budgeting control
Answer phones and field questions or complaints
Anticipate problems and critical issues in scheduling meetings
Write correspondence on behalf of the executive staff
Handle confidential matters including onboarding terminations living allowances and wage and salary information
Provide meeting planning support for annual company meeting (up to 300 employees) including invite lists correspondence venue selection and logistics
Use strategic thinking to seek ways to improve and increase the effectiveness of the department and organization as a whole
Review resumes for various positions and coordinate interview schedules and travel
Create presentations and organization charts
QUALIFICATIONS
College degree in business communications or related field isrequired
Minimum of 5 years of experience in executive assistant role or similar role
Ability to maintain discretion at all times
Proficient with MS Office Programs (especially Word Excel and PowerPoint)
Outstanding communication skills both verbal and written
Experience with data entry
Experience with expense reporting
Experience with planning and executing meetings
Ability to take direction and prioritizeresponsibilitiesfrom 3 executive leaders
Salary Range: $35 - $53 per hour
