Job Summary
This position is 100% Grant-Funded and subject to evaluation each fiscal year.
Job Summary: In addition to providing office management and admin support to the program director and coordinators on all campuses the primary responsibility of this position is data management and report writing for the grant. Both student compliance for participation and contract compliance are dependent on the scheduled state data collection input and management function of this position.
Minimum Qualifications:
Associates degree and two years of experience or a combination of education and experience.

Job Specific Task List:
- Assess and input all data submitted by student facilitators campus-wide for accuracy consistency and compliance with regulations to ensure submission schedule and grant requirements into CWDS and HACC related databases are met; assist with quality control by troubleshooting and identifying issues while suggesting training opportunities; program contact for CWDS and other stakeholders; maintain working knowledge of current KEYS guidelines. - (Essential)
- Generate reports with various information collected for PA Bureau of Employment Programs (BEP) KEYS staff or college including but not limited to End of Semester (EOS) Monthly Null and Zero SNAP employment Argos and others; track student participation hours; consistently keep track of SNAP employment; communicate via email with BEP about changes with reports and policies distributes information to the facilitators; attend annual training to remain informed of policy and program changes/updates; maintain updates and distributes training manuals to KEYS staff via google drive. - (Essential)
- Following HACC guidelines and with prior approval from the Program Director complete all purchasing receiving and record keeping for campus-wide KEYS offices including but not limited to office supplies marketing equipment student incentives and participant reimbursements; oversee and schedule campus-wide equipment and maintenance; create and balance yearly budget excel spreadsheet; works with procurement to obtain purchase orders adjust purchase orders and update invoices; oversee vendor management for the KEYS Program; complete supplier maintenance/W-9 tax forms for payment; work with bookstore to fill text book orders and school supplies bundles for KEYS students. - (Essential)
- Schedule team meetings in person or zoom; records and distributes meeting minutes to staff via google drive. - (Essential)
- Create and implement new forms and processes; maintains and manages the Cognito form data base for the program; works in Banner to enter KEYS student attributes verify personal information and receive purchase orders for payment. - (Essential)
- Maintain all KEYS related social media; implements and assists in design of posters brochures stickers and program marketing with IMC on a semi-annual basis. - (Essential)
- Create EPAFs yearly for all KEYS employees for position reappointment fiscal year funding changes and new hires/terminations; sets up access and email for all new hires orders business cards and name tags. - (Essential)
- Travels college-wide as needed to assist Student Coordinators with routine clerical duties; including but not limited to: filing scheduling appointments inputting service plans in CWDS SPAL paperwork and assisting with event planning and execution; interacts with and assists students as needed on a limited basis. - (Essential)
- Create and execute programming that supports student development professional development and college success including but not limited to workshops lunch and learns and community service placements targeted to KEYS students who are enrolled at HACC; Create materials collateral online tools and other self-guided resources to support students development workforce readiness and college success. - (Essential)
