Job Description:

The DMV is seeking a person to assist with making all forms PDFs and Word/Excel documents on the DMV website ADA-compliant. A project manager and two administrative assistants are currently undertaking this project which is bigger than the DMV envisioned with over 800 forms on the website that need to be converted. The DMV is hoping to make the April 26 2027 federal deadline to ensure that all forms on the website are ADA compliant. The DMV needs a person that has experience in converting website forms into ADA-compliant versions and to also help train DMV staff to be able to do this when the contractors contract ends. The DMV is looking for a person that can start working on these forms on day one so that all of them will be finished by April 26. The DMV is hoping to get an experienced person who has done this before works fast and can train others on this important task.

The DMV has hired a contractor to revamp the DMV website making it ADA-compliant as well and the hope is that this person can work together with her and the team that is working on getting the website and forms ADA compliant. Someone that can work well with others become the DMVs subject matter expert on ADA forms and pass along their knowledge to others who will carry the program forward is desired. Ideally someone who has done this at another state agency would be preferred. However anyone that can take the DMVs current forms and convert them into ADA-compliant ones that the public can easily embrace would be excellent and fulfill the role the DMV envisions.

Responsibilities

ADA Accessibility Program for DMV Forms & Documents
The DMV is committed to ensuring equal access to services and information for all customers including individuals with disabilities. To comply with ADA Section 508 and WCAG 2.1 AA standards the DMV must establish an ongoing accessibility program for all digital documents and forms including Word Excel PowerPoint PDFs and other materials.

Because accessibility requirements evolve and new documents are continuously created this effort requires a sustainable program with clear governance processes and trained staff.

We recommend engaging an ITP III - specialized in ADA compliance contractor to assess existing documents develop accessible templates and establish repeatable workflows. Long-term oversight would transition to a designated full-time employee (FTE).

This program will improve compliance customer service operational consistency and the DMVs commitment to accessible service delivery.

Scope of Work (ITP III - specialized in ADA compliance contractor)

  • Assess DMVs current forms documents and templates to identify accessibility gaps.
  • Remediate priority Word Excel PowerPoint PDF and other materials to meet ADA/WCAG requirements.
  • Develop standardized ADA compliant templates for enterprise wide use.
  • Create governance guidelines quality control processes and long term accessibility workflows.
  • Build an inventory and tracking system for forms and documents including remediation status.
  • Provide staff training and hands on knowledge transfer to support long term sustainability.
  • Prepare the program for transition to a designated FTE who will manage future operations.
