This role sits within Executive Operations and is responsible for delivering high-quality office and executive support. The role combines hands-on operational execution with broader coordination stakeholder management and continuous improvement responsibilities ensuring a seamless professional and well-managed workplace experience.

• Support the day-to-day running of the office including but not limited to: mail handling supplies and provisions; meeting room and desk bookings procurement and supplier management call handling and visitor management.
• Assist with processing invoices and raising purchase orders in line with internal processes track payments chase approvals and resolve basic invoice queries. Support financial record keeping and reporting.
• Maintain accurate records for headcount occupancy and office data update internal systems and support monthly reporting and data tracking.
• Maintain Health & Safety records and induction materials. Track completion of new joiner H&S requirements. Support compliance activities and documentation management.
• Coordinate onboarding activities including office access inductions and memberships support leaver processes such as access return and offboarding coordination.
• Assist with collecting data on energy use waste and sustainability metrics and support reporting and compliance requirements
• Support employee experience initiatives such as welcome gifts and office events and assist with coordination of team visits and internal activities.
• Provide EA support to the Executive Operations team with expenses travel planning meeting coordination correspondence support (full training and development will be provided)
• Provide event management support for flagship events senior leadership team visits and large scale trainings.
• Manage local Enable Workplace requests and provide general administrative support to the rest of the Workplace and Executive Operations teams as and when required.
• Act as a connector between global BE teams (People Clients & Marketing TeCy BMO Finance Legal & Business Integrity)

• Proficient knowledge of MS Outlook Word PowerPoint Excel
• Excellent communication skills (written and verbal)
• Previous experience in Professional Services desirable but not essential
• Presentable and personable with a proficient attention to detail
• Enthusiastic friendly and helpful a team player and is solution focused
