Manager Estate Management (Administration)
Job Summary
We are excited to recruit a Manager Estate Management (Administration) to be to be part of our dynamic Estate Management team.
Key Responsibilities
- Oversee day-to-day administrative operations including office management office services and support functions.
- Drive process and procedure innovation and improvements to ensure efficient workflows and service delivery.
- Manage office-related services (telephone printers maintenance records) and ensure timely resolution of operational issues.
- Manage office supplies inventory and service contracts to ensure availability and cost control.
- Implement improvements to enhance operational efficiency and user experience across the campus.
- Act as the primary point of contact for all staff for office-related matters.
- Manage procurement processes for administrative services including sourcing evaluation and contract administration.
- Monitor vendor performance to ensure compliance with service scope SLAs and contractual requirements.
- Track budgets expenses and utilisation to ensure cost control and adherence to approved budgets.
- Review and process purchase requests invoices and service agreements in accordance with governance requirements.
- Support preparation of annual budget and procurement plans.
- Review or develop and implement administrative policies and procedures to ensure consistency and compliance.
- Ensure adherence to organisational policies regulatory requirements and internal controls.
- Lead and supervise the administrative team including task allocation performance monitoring and capability development.
- Coordinate cross-functional support and communication across departments and stakeholders.
- Maintain proper documentation records and reporting to support governance and audit requirements.
Requirements
- Degree in Business Administration or Management or equivalent.
- At least 5 years of relevant experience in office administration and management.
- Experience in procurement vendor management event coordination and programme documentation.
- Track record of implementing innovative process improvements in office administrative functions.
- Proven leadership experience managing teams.
- High level of initiative pro-activeness and independence.
- Excellent fact-finding problem-solving and analytical skills.
- Ability to multi-task and deliver results in a dynamic environment
- Ability to work under pressure adaptable to change and manage challenges
- Excellent presentation skills
- Excellent interpersonal and communication skills
