Job Summary
The SHECARES Centre an initiative by SG Her Empowerment Limited is Singapores only dedicated support centre offering trauma-informed care and coordinated pathways for all survivors (children youth men and women) of online harms including impersonation cyberbullying image-based sexual abuse and doxxing.
We provide a safe confidential environment for survivors navigating their healing journeys through our helpline textline and face-to-face partnership with Pro Bono SG we also offer pro bono legal support. Where needed we guide survivors through reporting processes with law enforcement and social media platforms.
Beyond direct support SHECARES connects individuals with community resources conducts public education and deliver straining for community partners. Our work is embedded in SHEs broader advocacy and research mission meaning this team contributes to sector-wide change not just individual cases.
Role Overview
We are looking for a reliable and organised Part-Time HR & Admin Executive to support the companys day-to-day human resources and administrative functions. The role will involve maintaining supplier invoices assisting with recruitment and on / offboarding coordinating HR-related matters and providing general administrative support to ensure smooth office operations.
Key Responsibilities
Administration - routine
Handle general office administration and day-to-day coordination.
Manage filing documentation and record-keeping of supplier invoices.
Assist with office supplies building management and vendor coordination including cleaning and IT vendor and administrative purchases.
Coordinate meetings appointments and internal communications when required.
Liaise with external service providers and government or regulatory bodies when required.
Review and verify all staff expense claims for accuracy and policy compliance (e.g. transport medical and project-related reimbursements).
Provide general administrative support to management and other departments.
Human Resources
Maintain and update employee records personal files and HR documentation.
Assist with recruitment activities including job postings candidate screening interview scheduling and onboarding.
Prepare employment-related documents letters and HR correspondence.
Assist with attendance leave and employee records.
Assist in coordinating employee benefits insurance and other HR matters.
Support employee engagement activities and internal HR initiatives.
Ensure HR policies and procedures are properly maintained and communicated.
Maintain confidentiality of employee and company information.
Update various survey related to Employees
Travel & Hospitality Coordination
Travel Booking: Research and book cost-effective flight tickets and transport options for staff or guest speakers ensuring adherence to the organisations travel policy.
Accommodation: Manage hotel reservations and stay arrangements ensuring proximity to event sites or meeting venues.
Itinerary Management: Prepare clear travel itineraries including check-in times transport links and local contact information.
Requirements
Diploma or degree in Human Resources Business Administration or a related field preferred.
Previous experience in HR and/or administration is an advantage.
Good organisational and time-management skills.
Strong attention to detail and ability to maintain accurate records.
Good written and verbal communication skills.
Proficient in Microsoft Office
Able to work independently and manage multiple tasks.
Mature responsible discreet and trustworthy when handling confidential information.
