Job Description Summary

Under the supervision of the Facilities Manager the Assistant Facilities Manager supports the facilities organization at a specific location set of buildings or campus environment. The Assistant Facilities Manager is charged with supporting the day-to-day implementation of policies procedures programs and workplace services delivery that provides a well-managed and well-maintained building. Places an emphasis on a positive response to the concerns and needs of the tenants environmental health and safety and quality programs in coordination with the clients goals and objectives.

About the role

  • Coordinate daily facilities management activities across multiple client sites.

  • Attend to client requests and ensure timely follow-up and resolution.

  • Liaise with vendors and contractors for maintenance repairs and ad-hoc facilities services.

  • Obtain quotations and coordinate service works when required.

  • Monitor service schedules and follow up on work completion.

  • Support onboarding of new client accounts and operational setup.

  • Maintain records reports invoices and operational documentation.

  • Track inventory of office and facilities-related supplies.

  • Assist in billing administration and vendor invoice processing.

  • Support site inspections and ensure service standards are met.

  • Coordinate with internal stakeholders and external service providers to ensure smooth operations.

  • Perform other administrative and operational duties as assigned.

About you.

  • Minimum Diploma in Facilities Management Building Services Business Administration or related disciplines.

  • Entry-level candidates or candidates with up to 3 years of relevant experience are welcome to apply.
