Assistant CEO Office

Role Overview

Assistant CEO Office will work closely with the CEO to support the coordination and execution of key organisational priorities across SHE.

This is a junior high-potential role designed for someone who wants to develop strong skills in stakeholder management organisational coordination strategic thinking and executive support. The individual will work across different functions and initiatives gaining broad exposure to how an organisation operates and how priorities are translated into action.

The role is not primarily administrative. It requires someone who is highly organised proactive curious and comfortable working with different stakeholders. The individual will help the CEO stay focused on priorities by ensuring that important actions decisions follow-ups and cross-functional initiatives are well coordinated and progressed.

Over time the role can develop into a broader mid-level position in areas such as strategy operations partnerships programme management or the CEO/leadership office depending on strengths and organisational needs.


Key Responsibilities

1) CEO Office & Organisational Priorities

  • Support the CEO in coordinating and progressing key organisational priorities and initiatives
  • Translate discussions decisions and priorities into clear actions timelines and follow-ups
  • Track important deliverables across teams and ensure that agreed actions are followed through
  • Prepare briefing notes meeting materials summaries presentations and other working documents for the CEO
  • Conduct research and provide concise analysis on topics relevant to organisational priorities
  • Help the CEO prepare for internal and external meetings by gathering relevant information and context
  • Identify issues dependencies or gaps that may require the CEOs attention


2) Stakeholder Management & Coordination

  • Coordinate with internal teams and external stakeholders on behalf of the CEO where appropriate
  • Build and maintain effective working relationships with colleagues partners funders community organisations and other stakeholders
  • Follow up with stakeholders on agreed actions timelines and deliverables
  • Support the preparation and coordination of stakeholder meetings engagements and events
  • Ensure information is communicated clearly and appropriately across different stakeholders
  • Develop an understanding of stakeholder priorities expectations and relationships across the organisation


3) Strategy Projects & Problem Solving

  • Support selected strategic projects and cross-functional initiatives led by the CEO or leadership team
  • Break down broad priorities into practical workstreams actions and timelines
  • Conduct research gather information and synthesise findings to support decision-making
  • Assist in identifying operational or organisational issues and help coordinate solutions
  • Monitor progress against agreed objectives and highlight areas requiring attention
  • Take increasing ownership of projects as capability and experience develop


4) Executive & Leadership Support

  • Support the CEO in managing priorities meetings follow-ups and key organisational commitments
  • Maintain visibility of important deadlines decisions and outstanding actions
  • Prepare agendas minutes action trackers and follow-up communications where required
  • Support coordination between the CEO and leadership team
  • Handle sensitive and confidential information with appropriate judgement and discretion


5) Organisational Learning & Development

  • Gain exposure to different functions and aspects of organisational management
  • Develop an understanding of SHEs programmes operations partnerships advocacy and broader organisational priorities
  • Work closely with senior leaders and stakeholders to develop practical experience in organisational leadership
  • Take on progressively more complex responsibilities as capability and confidence develop
  • Identify opportunities to improve ways of working coordination and information flow across the organisation


Requirements

  • Degree in Business Management Social Sciences Communications Public Policy or a related discipline
  • Minimal 5 year of experience of relevant work experience
  • Strong organisational and project coordination skills
  • Excellent written and verbal communication skills
  • Strong attention to detail and ability to manage multiple priorities
  • Comfortable working across different teams and with senior stakeholders
  • Able to synthesise information and communicate key points clearly
  • Strong proficiency in Microsoft Office / Google Workspace and presentation tools
  • Demonstrated ability to take initiative and follow through on tasks with limited supervision

Growth Path

This role is intentionally designed as a developmental position within the CEO Office.

The successful candidate will initially provide broad support and coordination across the CEOs priorities while progressively developing ownership of projects stakeholder relationships and organisational initiatives.

As the individual demonstrates capability the role may evolve towards a mid-level position with greater ownership in areas such as:

  • Strategy and organisational planning
  • Operations and project management
  • Partnerships and stakeholder engagement
  • Programme development
  • CEO / Leadership Office
  • Other cross-functional organisational initiatives


The progression will depend on demonstrated capability interests and organisational needs rather than a fixed timeline.

Location & Working Arrangements

We adopt a hybrid working arrangement. Our office is centrally located in the Holland Village area accessible by public transport.
