Job Summary
Receptionist & Workspace Experience Coordinator you are the gateway to the Spacefinish experience. You will be the primary face and voice of our brand ensuring that our local studio and corporate workspace operate seamlessly while delivering an unforgettable first impression to high-profile clients stakeholders and visitors.


Key Responsibilities

1. Front Desk & Guest Experience Management

  • Serve as the primary point of contact at the front desk welcoming clients investors contractors and team members with a professional and engaging demeanor.

  • Manage the visitor registry coordinate guest check-ins and seamlessly route clients to scheduled design presentations or boardroom meetings.

  • Efficiently handle incoming phone calls filter inquiries and redirect them to the appropriate project supply chain or design teams.

  • Ensure the reception area and common guest spaces are visually immaculate organized and continuously reflect Spacefinishs design-led aesthetic.

2. Office Operations Logistics

  • Supervise daily office upkeep liaising closely with facility teams and janitorial staff to maintain a spotless workspace environment.

  • Manage the inventory pipeline for office supplies stationery and front-desk pantry items tracking usage and executing timely procurement requests.

  • Receive sort and dispatch incoming mail couriers architectural material samples and critical vendor invoices.

  • Coordinate internal meeting room calendars and schedule boardroom bookings to prevent internal logistical friction.

3. Core Administrative Support

  • Provide foundational administrative support to the Operations departments (e.g. updating basic employee database records managing administrative expenses and archiving vendor invoices).

  • Assist in coordinating office events vendor meet-ups and internal team engagement sessions.

  • Prepare routine corporate correspondence memos and internal front-office reports as directed by management.



Requirements

Required Skills & Qualifications

  • Education: Bachelors degree (.) or Higher National Diploma (HND) in Administration Mass Communication Humanities or any related discipline.

  • Experience: 13 years of proven experience as a receptionist front desk executive or administrative assistant preferably within a creative agency premium hospitality brand or corporate enterprise environment.

  • Communication Mastery: Exceptional verbal and written communication skills with a clear command of the "K.I.S.S. principle" (Keep It Short and Simple).

  • Attention to Detail: Deep organizational skills with a strong habit of double-checking logs data fields and procurement forms to prevent errors.

  • Emotional Intelligence: High level of self-regulation and active listening to remain calm balanced and solutions-oriented when handling high-pressure operational situations or difficult client inquiries.

  • Tech Literacy: Proficiency in Microsoft Office Suite (Word Excel PowerPoint) and experience with digital workspace productivity tools (Slack Zoom or Google Workspace platforms).

  • Professional Image: Immaculate personal presentation and a positive work ethic that naturally projects a professional presence aligned with an elite design brand.




Required Skills:

Bsc in Architecture minimum. Masters is an advantage Minimum of 8-10 years in a similar capacity Proficient in AutoCAD SketchUp Revit Illustrator or other design programs Experience working with BIM Excellent portfolio of previous works Creative talent imagination and eye for design Communication and presentation skills Project Management skills Other behavioural competency requirements: Fosters team spirit and collaboration encourages and creates mechanisms for the sharing of expertise Championing results orientation and excellence Foster a culture that values creativity innovation and an openness to diverse perspectives Delivers effective presentations and speeches either prepared or extemporaneous to internal and external audiences on behalf of the organisation.
