  • About the job

    We are seeking an experienced Executive Assistant to provide high-level administrative support to our CEO. The ideal candidate should have a proven track record of successfully managing complex calendars for executives who travel globally, possess strong organizational and communication skills, and be able to anticipate needs and proactively adapt to changes in a fast-paced environment.

    Responsibilities:

  • Manage and maintain CEO's calendar, including scheduling and coordinating meetings, conferences, travel, and other appointments
  • Prioritize and manage incoming emails, calls, and other correspondence
  • Proactively anticipate and prepare for the Executive's needs, including creating and preparing materials for meetings and presentations
  • Arrange and coordinate global travel logistics, including flights, accommodations, and ground transportation
  • Conduct research and compile reports as needed
  • Liaise with senior executives, clients, and external stakeholders on behalf of the Executive
  • Coordinate with other members of the executive team and administrative staff to ensure efficient workflow and communication
  • Maintain confidentiality of all information and documents
  • Perform other duties as assigned
  • Qualifications:

  • 5+ years of experience as an executive assistant to a CEO
  • Excellent organizational and time management skills with the ability to multitask and prioritize tasks in a fast-paced environment
  • Native level of English language skills essential
  • Preference for applicants with native-level skills in either Spanish, French or Portuguese
  • Strong communication and interpersonal skills, including the ability to communicate effectively with individuals at all levels of the organization
  • High level of discretion and professionalism in handling confidential information
  • Proficient in Microsoft Office and other relevant software
  • Availability to work flexible hours and travel as needed
