Job Description

As a Compliance Administrator Maintenance you will be responsible for auditing key criteria and elements within property management portfolios to ensure strict adherence to relevant regulations and business processes. Your role involves proactive engagement with property managers following up to ensure timely actions and promptly escalating any identified noncompliance or issues to Team Leaders when necessary.

Shift: Early Shift (3AM to 12noon)
Work setup: Permanent WFH
Salary: Up to PHP 35000

  • Excellent ability to build relationships with various stakeholders and work closely with department managers.
  • Proven work experience as an administrator or similar role.
  • Proficiency in the Microsoft Office Suite especially Excel.
  • Strong system/software skills and ability to learn them quickly.
  • Professional attitude.
  • Some knowledge of property management or maintenance.
  • Solid written and verbal communication skills.
  • Ability to be calm resourceful and proactive when issues arise.
  • Ability to identify and communicate process improvements and implement changes.
  • Excellent organizational skills.
  • Multitasking and timemanagement skills
  • Ability to prioritize tasks efficiently depending on the needs of various stakeholders.

  • Understanding of the need for confidentiality and discretion both internally and externally.

  • Provide exceptional compliance administrative function and communication to various stakeholders.
  • Offer maintenance cover for property managers on leave.
  • Report to: Senior Team Leader

Compliance Administrator:

  • Audit key criteria/elements for property management portfolios to ensure compliance with relevant regulations/Acts and business processes. Follow up with property managers to ensure they meet action timeframes and escalate noncompliance or issues to Team Leaders as needed.
  • Notify relevant Property Managers of expiring Fixed Term Tenancies and check for expiring insurances notifying Property Managers when data is available.
  • Find Body Corporate developer lead contacts for loading in relevant systems.
  • Tidy Property Management system data as required/instructed.
  • Receive and manage all property management monthly communication from Real Landlord insurance or other suppliers including breaking down property management referrals and communicating those to payroll.
  • Arrange Palace NB owner portal access for new clients.
  • Perform property management audit functions including listing standards bond lodgement check vacated tenants check inspections completed/quality checks and property compliance checks (Healthy Homes Smoke Alarms Insurance Insulation).
  • Undertake any other administrative support duties as required by the Property Management leadership team.

Maintenance Support:

  • Cover the maintenance management system for property managers on leave booking maintenance jobs or quotes and communicating with internal and external parties as required.
  • Ensure all relevant information about "maintenance in progress" is received from the property manager going on leave and ask questions if needed to ensure clarity.
  • Arrange and manage maintenance jobs or quotes based on need and the relevant process.
  • Approve quotes or send the property owner quotes for approval.
  • Ensure urgent/emergency maintenance is prioritized with the relevant contractor.
  • Refer/escalate owner/tenant additional queries or jobs needing further clarity/discussion to the backup property manager assigned for leave cover.
  • Approve invoices received below the property expenditure limit; otherwise leave for the returning property manager.
  • Ensure any major action points and/or updates are provided to the property manager when they return from leave.
