The Opportunity
Reporting to the Director of Human Resources the Human Resources Coordinator plays a key role in delivering comprehensive HR services across the University. This multifaceted position supports employees supervisors and leaders throughout the full employee lifecycle including recruitment onboarding and offboarding employee relations performance management benefits administration and contributes to a respectful compliant and positive workplace culture. The role also provides executive and administrative support to the VicePresident (Finance and Administration).

What youll do
Responsibilities
Recruitment Selection & Onboarding/Offboarding
- Support hiring managers and committees through all stages of recruitment including maintaining job descriptions administering postings coordinating interviews assisting with reference checks preparing employment contracts and tracking competitions new hires and internal staff movement.
- Coordinate onboarding for staff and faculty including systems setup documentation benefits and pension enrolment and orientation delivery.
- Manage staff and faculty offboarding including terminations and retirements exit interviews transition support final pay reconciliation database updates and preparation of related correspondence.
Benefits Pension & Leave Administration
- Administer employee benefit and pension plans including enrolment billing carrier liaison employee support and the Employee and Family Assistance Program.
- Manage Part-time Faculty Health Spending Accounts.
- Track and report employee leave overtime and related attendance data.
- Performance Management and Compensation
- Coordinate annual performance management and probationary reviews including tracking documentation and salary adjustments.
Employee Training and Development
- Support employee training and development by working with employees and supervisors to address individual and organizational skill and performance needs.
- Ensure compliance with the Universitys Training and Development obligations under the Staff Collective Agreement.
Job Analysis & Compensation
- Manage the job evaluation and classification processes for unionized staff including related correspondence salary adjustments and retroactive pay.
Data and File Management
- Maintain and update employee records and databases in accordance with standard procedures.
- Maintain the University telephone listing and other HR-related information on the Human Resources Intranet.
- Manage the main Human Resources phone line and email account.
Executive & Administrative Support (VP Finance & Administration)
- Prepare agendas minutes board and committee reports salary reports and quarterly reports.
- Provide administrative support for budget submissions institutional initiatives convocation activities and recruitment correspondence.
- Schedule and coordinate meetings for senior leadership and committees.
Policy Administration & Industrial Relations
- Develop review and revise policies based on current and future University priorities.
- Develop standard operating procedures and guidelines to support the efficient and effective functioning of the Human Resources Office.
- Assist in the interpretation and administration of faculty and staff collective agreements.
- Support collective bargaining activities through research and data analysis.
Well-being & Recognition
- Chair the University Wellness Committee and coordinate wellness initiatives.
- Support health and safety programs policy development training and recordkeeping.
- Serve as recording secretary to the Joint Health and Safety Committee.
- Support employee recognition programs and staff events.
What youll need
Qualifications
- A university degree in business administration public administration or in a related field with a major in human resources supplemented by two (2) years of experience in human resources or recognized equivalencies.
- Certified Human Resources Professional (CHRP) designation is an asset.
- Extensive experience administering all aspects of benefit and pension plans and managing employee data and filing systems.
- Ability to provide professional high quality friendly service to internal and external stakeholders.
- Advanced skills in all MS Office products and web-based and database (HRIS) programs.
- Experience administering and interpreting collective agreements.
- Initiative strong organizational and analytical skills attention to detail and ability to work independently.
- Ability to integrate rules regulations and instructions into policy and procedures.
- The ability to demonstrate strong interpersonal skills and to exercise discretion tact and judgment in situations involving high conflict emotion and urgency.
- The ability to maintain confidentiality as it relates to employee personal information and privacy.
WORKING CONDITIONS:
- Periodic requirement to work under pressure to meet deadlines.
- Frequent interruptions from employees students visitors and telephone calls.
