What youll be doing: The Foundation Specialist is a data-driven position responsible for performing research developing queries and conducting data analysis to support the fundraising objectives of the Foundation in addition to processing all donations to the Foundation. This position
coordinates activities and handles administrative duties related to the Foundations campaign priorities and helps coordinate promote and assist with special events andscholarship program activities.

We are looking for a detail-oriented collaborative team player who enjoys working with data conducting data research and working under autonomy. This person is highly organized and task-oriented with strong communication skills. Strong technical skills and experience in databases are essential.

About the team:
The Foundation team is a small but efficient team that is comprised of the Vice President of Foundation HR & Legal Affairs the Director of Development & Major Gifts the Foundation Accountant and the Foundation Development Associate. The LCC Foundation has a Board of Directors of approximately 20 community volunteers and the mission of the LCC Foundation is to provide financial support where public funds are not sufficient and to gather support for the enhancement of educational opportunities at Lower Columbia College.

As part of the Foundation team this position will help advance the mission of providing financial assistance to students encouraging public support for the college and strengthening the teaching learning and cultural environments of the college and our community. The LCC Foundation has a strong commitment to making education accessible and diversity equity and inclusion are a core component of the Foundations initiatives and program support.

The Foundation Specialist position is 40 hours per week. The typical schedule is Monday through Friday 8:00 am to 5:00 pm. This position is primarily in person on campus with the occasional opportunity to work remotely. This position is exempt under FLSA and overtime eligible. Some evening and weekend hours will be required for special events. This position reports to the Director of Development & Major Gifts.

Examples of Duties & Responsibilities

  • Campaign Implementation: Assist in executing campaign and appeal plans and managing day-to-day gift and pledge tracking.
  • Donor Communications: Develop and produce clear written communications such as thank-you letters appeal letters and year-end messages for digital and print.
  • Solicitation Materials: Oversee the distribution of foundation materials and prepare campaign/donor packets for cultivation meetings and calls.
  • Prospect Research: Provide the VP and Director of the Foundation with research on prospects and alumni to support cultivation and stewardship efforts.
  • Contact Management: Prepare and record detailed communications and contact reports regarding interactions with alumni prospects and donors.
  • Database Administration: Maintain the Raisers Edge database including researching lost donors/alumni updating contact information merging duplicate records creating queries and reports data analysis and linking family and other relationship records.
  • Gift Entry & Records: Process record and report all donations to the Foundation; ensure accurate electronic and hard-copy record-keeping for all contributions.
  • Acknowledgements: Generate and send all gift acknowledgements and receipts maintaining permanent records in compliance with IRS requirements and Foundation policies and procedures.
  • Data Reporting: Produce data analysis and reports including mailing lists giving and tribute reports prospect lists and profile development for cultivation purposes.
  • Payroll & Alumni Integration: Process monthly payroll donations and coordinate changes with the College Payroll department and set protocols for importing graduating student data into the database
  • Event Coordination: Assist in planning promoting and executing special events (fundraisers donor recognition etc.) including attendance tracking and providing support during occasional evening or weekend hours
  • Publication Production: Coordinate the production and mailing of College and Foundation publications and print marketing materials
  • Inventory Management: Track and order Foundation office supplies and marketing collateral
  • Board Support: Manage administrative details for Foundation board meetings and other activities including the recording and retention of official meeting minutes
  • Office Operations: Assist with front-office coverage including answering phones and greeting visitors
  • Confidentiality: Maintain strict confidentiality of all donor and institutional information according to law rules and procedures
  • Interpersonal Relations: Interact in a positive and professional manner with individuals from diverse backgrounds
  • Other duties as assigned.

Typical Qualifications

Minimum Qualifications

  • Associate of Arts degree in a related field OR equivalent combination of education and experience.

  • Advanced proficiency in Google Suites Microsoft Office applications (Word Excel and Office Suite) Jotform or similar programs.

  • Knowledge of Blackbauds Raisers Edge database program or similar donor management or database program.

  • Ability to present information concisely and effectively both verbally and in writing.

  • Strong organization skills and ability to manage competing priorities.

  • Ability to work independently with little supervision.

  • Ability to develop positive relationships and collaborate with diverse individuals.

  • Maintain a high degree of confidentiality and professionalism.

Preferred Qualifications

  • Advanced knowledge of Blackbauds Raisers Edge database program or similar. donor management or database program (i.e. well versed in query and report design).

  • Experience working in development and event planning.

  • An understanding of stewardship protocols accounting standards and IRS Gift Rules.

  • Familiarity with the process of major gift solicitation and philanthropy.

  • Experience with multi-channel marketing initiatives through website content coordinating with print vendors and executing strategic communications to meet public relations objectives.
