Job Summary:
Human Resources Leave of AbsenceInformation System Specialist will serve as the initial Tier 2 point of contact for BPS employees in providing assistance to help them fulfill their responsibilities including documenting tracking and resolving inquiries in a standardized manner with the goal of delivering excellent customer service to end-users including but not limited to supporting all employees HR Managers RC Managers Department Heads Principals and timekeepers with questions regarding the administration of a leave of absence and or the actual need for a leave of absence.
Essential Job Duties/Functions (in no specific order)
- Review analyze and process request for leave of absence for all employee groups within assigned caseload
- Provides customer satisfaction through effective and timely resolution of inquiries. Ensures requests designated as highpriority receive an immediate response or are routed to the supervisor.
- Informs callers about Human Resources policies and procedures with assistance from supervisor as appropriate.
- Researches questions or concerns and escalates issues to appropriate personnel for resolution when appropriate.
- Makes each interaction a teaching opportunity by promoting future use of online services.
- With supervisory approval informs the development of instructional documentation such as but not limited to FAQs and other knowledge management materials. May work with the DoIT/OiiT team to update content on the Hub Help Center site citywide kiosks training information etc.
- Updates job knowledge and skills by participating in educational opportunities seminars and other similar activities.
- Participates in depositions and grievances related to leave of absence related matter.
- Fulfill request for personnel/ medical file copies.
- Support with requests for files for compliance audits.
- Assists with special projects as assigned.
- Maintains files records or logs as required.
Performs related duties as required.
Minimum Requirements (Education/Experience/Skills)
- Three (3) years of full-time or equivalent part-time clerical or administrative work in which the major duties included customer service and/or computer experience in an office environment.
- Knowledge of administrative and clerical practices and procedures for evaluation.
- Knowledge of computer software programs such as Microsoft Office and Google Suite to create and edit documents.
- Working knowledge of City of Bostons Human Resources policies practices and procedures preferred.
- Ability to plan organize and process a high volume of work in a timely manner.
- Ability to effectively communicate orally and in writing and to prepare reports and correspondence as required.
Special work conditions:
- Working Hours: 9:00 a.m. 5:00 p.m. (8 hours per day including a one-hour paid lunch).
- Breaks: Employees waive their 15-minute breaks.
- Early Release: Employees waive early release during the months of July and August and on all workdays between Christmas Day and New Years Day.
- Compensation for Waived Time: In lieu of the 15-minute breaks and early release employees receive one (1) additional personal day.
- On-Site Requirement: Due to the nature of the role this position is required to be in person 5 days per week.
NOTE: City of Boston Residency is required for this Administrative Guild Union position.

- Location: Bolling Building (2300 Washington Street RoxburyMA 02119
- Schedule: 9:00 AM - 5:00 PM
- Position is required to work year round - does not follow the school calendar. - No onsite parking (On street and limited lot parking based on lottery)
- Tier I/II Guild HR employees (not eligible for 501 days):
- Get 1 extra personal day for waiving early release on Fridays (JulyAug) and between Christmas and New Years.
- Work 7-hour days with a 1-hour unpaid lunch
5-minute break; 15 minutes added to daily schedule. - On-Site Requirement: Due to the nature of the role this position is required to be in person 5 days per week.
