Creative Project Specialist

Job Summary
The Creative Project Specialist is an entry-level position that supports the day-to-day coordination and intake of creative requests for the Creative Services team. This role ensures projects are properly scoped organized routed and tracked from submission through production. The ideal candidate is highly organized detail-oriented and comfortable communicating with multiple departments. They are interested in creative operations project management workflows and using AI tools to improve efficiency and streamline processes.
Key Responsibilities
- Review incoming creative requests for completeness accuracy and required assets.
- Follow up with requestors to gather missing information including dimensions deadlines approvals and supporting materials.
- Assist with intake triage and route projects to the appropriate creative team members.
- Maintain and update project tasks within project management systems such as Asana.
- Monitor timelines due dates approvals and overall project status.
- Support Project Manager with production coordination and general project management tasks.
- Organize files proofs and project documentation.
- Assist with scheduling meetings preparing status updates and facilitating cross-functional communication.
- Ensure requests follow established intake processes and workflow standards.
- Escalate timeline risks incomplete requests or conflicting priorities to leadership.
- Demonstrate familiarity with AI tools within project management workflows.
Qualifications :
Required Qualifications
- Bachelors degree in Marketing Advertising or a related field.
- Familiarity with Microsoft Office Google Workspace and/or project management tools.
- Strong organizational and communication skills.
- Ability to manage multiple projects and shifting priorities.
- Comfortable learning new software and systems quickly.
- Detail-oriented with strong follow-through.
- Positive collaborative attitude and willingness to learn.
Preferred Qualifications
- Familiarity with Adobe Creative Suite.
- Understanding of the creative process.
- CAPM PMP or similar certification.
- Previous administrative coordinator hospitality or customer service experience is a plus.
