About the Role
The role of Ward Clerk Acute Ward and Urgent Care Centre (UCC) provides the first point of contact at the ward and UCC for patients and visitors attending Yarrawonga Health. The Ward Clerk is responsible for the accurate and timely maintenance of patient records and data supporting the coordination of patient flow and administrative processes across the health service. The Ward Clerk is to provide a high standard of reception and administrative support to the multidisciplinary staff of the health service. The position involves liaising with all Yarrawonga Health nursing medical and ancillary staff immediate supervisors and other management roles as required.
Ongoing hours:
- Afternoon shifts 4:30-9pm.
- Weekend work is required on a fortnightly rotation in line with rostering requirements
- Public Holidays are also required in line with rostering requirements
Key Responsibilities
General Administration
- Process and distribute incoming mail emails and faxes
- Enter compliments and complaints into the Incident Management System
- Assist the Nurse in Charge with replacement roster phone calls
- Maintain office equipment and arrange servicing as required
- Monitor and order stationery and essential supplies
- Manage all incoming calls and walk-in enquiries professionally and promptly
- Direct patients visitors and families to the appropriate staff member
Medical Records Management
- Create and maintain electronic and paper medical records
- Complete administrative tasks for new patient admissions
- Scan and file clinical and non-clinical documents
- Maintain ID label supplies
- Ensure medical records are organised tracked and forwarded appropriately including post-discharge timelines

- Experienced in healthcare administration (desirable not essential)
