Job Summary


Organizational Setting

The main aim of the FAO country offices which are headed by FAO Representative is to assist governments to develop policies programmes and projects to achieve food security and to reduce hunger and malnutrition help to develop the agricultural fisheries and forestry sectors and to use their environmental and natural resources in a sustainable manner.

The following position is at SB3 SC6 level.


Reporting Lines

Under the overall guidance of the FAO Representative in Pakistan close collaboration with Assistant FAO Representative (Administration) and Direct Supervision of International Logistics Expert.


Technical Focus

Planning execution and control of the procured supplies movement that includes warehousing transportation distribution and stationing of personnel materials and other resources to achieve the objectives of a campaign plan project implementation and or any other strategies.


Tasks and responsibilities

Responsible for tracking and tracing all procured goods POs locally or internationally to FAO warehouses or designated locations and to inform on accurate tracking status of POs deliveries at all stages of supply chain.
Responsible for stock management and control of all FAO procured supplies in a specialized storage conditions (temperature controlled) i.e. Cold chain storage and cold chain logistics for animal vaccines in line with FAO guiding principles and procedures.
Manage logistics operations for the reception issuing and distribution of Agricultural inputs and assets procured under the projects including arrangement of efficient and cost-effective transportation to the end user based upon agreed distribution plan and in collaboration with field Logistics and program team at the field level.
Coordinating with Logistics teams at the field offices to update continuously the supply movement in each location and provide stock report distribution reports and physical Inventory reports on weekly and or monthly basis.
Maintain familiarity with relevant logistics legal compliance issues such as import export custom clearances tax exemption policies of host government to ensure compliance.
Prepare administrative documentation following clearing agents SOP for tax exemption and custom clearance for international shipments on a timely manner.
Track and manage shipments though good and clear communications with clearing agents port/airport handling companies warehouse and transport management companies involved in any designated operations.
Responsible for developing managing transportation and dispatch plans of inputs for the last mile deliveries for distribution in close coordination with the program teams.
Ensure a pro-active link and understanding the organization transportation services needs for goods & personnel movements and ready to take on supporting role fleet management related activities.
Ensure appropriate filing of all relevant documents GRN waybills inspection reports copies of invoices delivery notes & POs (national and international) to ensure accurate tracking and documentation for audit purposes.
Ensure that all records including inventory lists stock cards of FAO items and equipment are updated and easily available to authorized users.
Responsible and ensures periodic inventory reports is prepared as required internally by FAOPK and/or by Donors I.e. Monthly Quarterly yearly.
Work closely with other units procurement program operations and administrative to ensure comprehensive planning and providing support /assistance to all FAO Pakistan projects implementation activities.
Take the lead on the review and updating the standard operation procedures (SOP) that guide on the process at different levels of Logistics and supply chain.
Take on other ad hoc logistic and supply chain tasks as assigned by the supervisor and perform any other duty as and when required.


CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

University Degree from an institution recognized by the International Association of Universities (IAU)/UNESCO in Logistics and Supply Chain Management Business Administration Management Transport Management International Development or areas directly related to logistics operations in FAO or other UN agencies programme implementations.
5 years field experience of working in Logistics and Supply Chain Management and transport management settings.
Working knowledge of English (level C)

Technical/Functional Skills

Good knowledge of Logistics and Supply Chain Management (Procurement Stock Management Warehousing including temperature controlled transportation and Distribution).

Good knowledge of communication and documentation standards (reporting)
Knowledge and understanding of sourcing within the procurement function.
Strong research skills ability to conduct benchmarking analysis in support of (third Party) vendor identification selection and performance management.
Display initiative and take responsibility for achieving agreed outputs within set deadlines and closely follow-up until successful outputs are achieved.
Continue to seek new innovative and improved methods and systems for accomplishing the work assigned.
Identify and recommend remedial measures to address problems in systems design or implementation
