Job Summary

Position Summary

The Accounts Payable (AP) Administrator Equipment is responsible for the accurate and timely processing of equipment-related invoices across assigned branches. This role supports the Accounting department by ensuring invoices credits and vendor statements are properly reviewed reconciled and resolved. Key responsibilities include verifying invoice accuracy maintaining equipment and invoice logs and assisting with discrepancy resolution. The AP Administrator plays an important role in supporting strong vendor relationships and effective communication with internal branch teams. Additional administrative duties may be assigned as needed to support Accounting operations.

Essential Duties and Responsibilities:

Work Schedule and Location

  • Full-time position 40 hours per week Monday through Friday
  • Overtime may be required periodically based on workload and processing deadlines
  • 100% in person -work performed in the home office

Daily Functions

  • Review and process equipment-related invoices for assigned branches ensuring accuracy of pricing and charges prior to payment
  • Identify research and resolve invoice discrepancies and pricing issues in a timely manner
  • Follow up on outstanding credits and coordinate resolution with vendors and internal teams
  • Review and reconcile vendor statements to ensure invoices and credits are properly reflected
  • Maintain accurate and up-to-date equipment and invoice tracking logs
  • Verify consistency between internal equipment logs and external vendor portals
  • Distribute weekly equipment logs to branches to ensure visibility and accuracy of rental and purchase activity
  • Serve as a backup resource for equipment-related purchasing support when needed
  • Build and maintain effective working relationships with vendors branch personnel and Accounting staff to support efficient communication and issue resolution
  • All other duties as assigned

Skills and Qualifications:

  • College degree preferred
  • Prior experience with accounts payable or invoice processing strongly preferred
  • Strong computer skills including proficiency in Excel Word and data entry
  • High level of accuracy and attention to detail
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong verbal and written communication skills
  • High energy with the ability to stay focused on detailed tasks

Work Environment / Working Conditions

The employee will work in a busy informal yet professional office environment. Noise levels are generally moderate but may increase during interactions with vendors and company personnel.
