We serve both residential and commercial customers through retail showrooms and a wholesale channel supplying builders contractors and designers. We are growing and looking for a talented marketer to help drive that growth across digital and traditional channels.
About the Role:
The Purchasing Assistant supports centralized purchasing operations by coordinating purchase order data entry and maintaining accurate system records. This role plays a key part in ensuring purchase orders are prepared and issued on time materials are received accurately and purchasing activities are aligned with production and installation schedules across all branches.
Key Responsibilities:
Purchase Order Data Entry
- Create purchase orders in the ERP system (Epicor) with accurate due dates
- Ensure accuracy of material specifications (color finish thickness quantities) and alignment with sales orders
- Update purchase orders with supplier order confirmation numbers
- Review confirmations against purchase orders to verify quantities pricing and details
Data Accuracy & Reporting
- Maintain up-to-date and accurate records in ERP and internal dashboards
- Assist in preparing reports (open POs delayed shipments inventory status)
- Ensure no outdated or incorrect data remains in purchasing systems
- Draft weekly ship lists to support planning and order release processes
Cross-Functional Coordination
- Support alignment between purchasing timelines and production schedules
- Coordinate with internal teams to ensure timely flow of information
- Prepare RMAs (Return Material Authorizations) for return requests
Required Key Qualifications & Skills:
- 1 years of experience in purchasing procurement or administrative support within a manufacturing or distribution environment.
- Excellent written and verbal English communication skills for coordinating between suppliers and internal production teams.
- Experience working with ERP systems and Excel
- Exceptional accuracy in data entry
- Strong time-management skills to maintain multiple branch schedules and Open PO reports simultaneously.
- Capability to handle the RMA (Return Material Authorization) process and resolve shipment delays proactively.
