Job Description:
We are seeking an organized and detail-oriented Project Coordinator to support project activity across account management creative production inventory and logistics teams. This role helps keep projects moving by tracking assets coordinating shipments preparing documentation ordering materials and supporting internal teams under tight deadlines.
Key Responsibilities
- Track and update project statuses across multiple active jobs
- Maintain physical and digital inventory records
- Set up inspect and organize client assets
- Coordinate inbound and outbound client shipments
- Arrange domestic and international shipping as needed
- Prepare shipping manifests and related documentation
- Contact vendors and suppliers for current rates and project needs
- Prepare and submit show orders
- Order materials and create purchase orders
- Support account management creative and production teams
- Provide administrative and project support as needed
- Work independently while also collaborating with internal teams
Qualifications
- Strong organization and follow-up skills
- Ability to manage multiple projects and deadlines
- Proficiency with Microsoft Office
- Strong communication skills and professional demeanor
- Detail-oriented and comfortable with hands-on project work
- Ability to work in a fast-paced team environment
- Ability to lift up to 50 lbs.
Preferred
- Experience in project coordination logistics inventory production events exhibits or operations
- Experience with shipping documentation purchase orders or vendor communication
- Customer-service mindset and willingness to take ownership of tasks
