Description of Work

North Carolina State Highway Patrol is seeking an Administrative Specialist I to join our team! The Administrative Specialist I provides administrative support to the First Sergeant in the overall function of a District operation. Performs various office duties including answering phones typing memorandums generic business letters and related correspondences.

Key Responsibilities

  • Provides office support functions i.e. sorting/routing incoming materials handling/distribution of mail updates files and database systems etc.
  • Provides advisory and clerical support for Sergeants. Serves on teams and boards at the pleasure of the Troop Commander and/or Senior Patrol Management.
  • Collects and compile data using report/spreadsheet formatting.
  • Enters traffic enforcement data into computer database.
  • Interacts with Administrative Office of the Courts personnel to assist with court dates for uniform members and updating citation information. Department of Transportation personnel for roadway conditions weather conditions traffic control situations traffic signage/lights and planning for special events Department of Motor Vehicles for drivers license registration and insurance information public officials for the purposes of legislative action matters coordination of special law enforcement events with potential applicants seeking employment with the North Carolina State Highway Patrol the media and citizens concerning accident reports weather conditions commendations directions stored or seized vehicles motor vehicle laws and complaints and with uniform members through the utilization of computer messaging programs to deliver messages.
  • Maintains timekeeping balances i.e. shift premium compensation sick and vacation leave balances. Facilitates/schedules/records movement of cargo requiring Patrol escort. Tracks due dates of reports and expiration of equipment for the District. .
    Manages fuel inventory via Systems Applications and Products (SAP).
  • Maintain files

Candidates meet the minimum qualifications of this position if they meet the minimum education and experience listed onthe vacancy announcement. Vacancy specific knowledge skills and abilities (KSAs) and/or management preferences are notrequired. Applicants who possess the following are preferred:

  • Experience maintaining confidential files and/or records.

  • Experience providing customer service and/or information to the general public individuals and/or groups.

  • Experience utilizing a computer and associated programs (ex. Microsoft Excel Microsoft Outlook Microsoft Word).

  • Experience composing and/or reviewing official communication and/or documents.

  • Experience processing invoices for payment and tracking expenses

  • Current or prior State Highway Patrol administrative/clerical experience preferred..

  • Previous administrative/clerical experience in one of the following areas law enforcement agency law firm/legal office or military department.

  • Experience with any/all of the following: Administrative Office of the Courts (AOC) Computer Aided Dispatch (CAD) Division of Criminal Information (DCI) E-Procurement Fiori Time Management NCAS P-cards state fiscal inventory

Position/Physical Requirements:

  • Typical work schedule: Monday-Friday; 8:00am-5:00pm

Minimum Education and Experience

High school diploma or General Educational Development (GED) diploma

AND

two years of related administrative experience; or equivalent combination of education and experience.

Veterans and National Guard Preference
