Job Summary

AECOM is seeking an Administrative Assistant to be based in Waterloo IA. 

The responsibilities of this position include but are not limited to: 

  • Provides administrative support to one or more managers within a group office or business unit including some of or all of the following: prepares or proofs correspondence forms spreadsheets or documents schedules meetings makes travel arrangements and/or maintains inventory of office supplies. 
  • Familiar with standard concepts practices and procedures within technical writing communications or marketing fields. 
  • Relies on experience and judgment to plan and accomplish goals. 
  • Uses Word Excel PowerPoint Outlook Bluebeam and other programs to accomplish work. 
  • Works under general supervision and self-motivated. 
  • Prepares proposals and business development documents with information provided by technical staff.  This includes clerical formatting and presentation type graphics development.  Excellent written and verbal communication skills. 
  • Prepares Project Specifications and Reports with technical information provided by technical staff.  This includes posting projects to online bidding services. 
  • Receptionist for office including answering phone checking visitors in the office and posting office calendar. 
  • Completes both electronic and hard copy office filing for correspondence and design plans. 
  • Assists Administrative Staff and Office Manager with additional tasks as needed 

Qualifications :

Minimum Requirements: 

  • High School Diploma 2 Years of Relevant Experience or demonstrated equivalency of experience and/or education. 
  • Valid Drivers License 

Preferred Requirements: 

  • Proficient in Microsoft Professional Office Suite including: Word Excel PowerPoint Access 
  • Working knowledge of office equipment (such as phones printers and scanners) 
  • Proven experience as an administrative assistant 
  • Knowledge of office management and procedures 
  • Excellent time management skills and the ability to prioritize work 
  • Attention to detail and problem-solving skills 
  • Work experience in engineering construction transportation industries preferred. 
  • Working knowledge InDesign Software a plus!
