GIBB Mining is seeking a suitably qualified and experienced professional to fulfil the role of ConstructionSite Administrator.

The below listed responsibilities and requirements will be assessed during the interview stages and will further be confirmed with the relevant professional references that you currently are or have reported to in your previous two positions.
Core purpose:
The core purpose of the Site Administrator role is to ensure the effective administration control integrity and compliance of all project documentation and records in support of successful project delivery.
Key Responsibilities:
Provide administrative support to the Project Manager and site team
Manage and maintain the document control system in line with project and client requirements
Maintain and update all project registers (transmittals drawings deliverables RFIs etc.)
Control the issuing receiving and tracking of all project documentation
Ensure proper document numbering revision control and formatting standards are applied
Distribute documents through approved platforms (e.g. SharePoint)
Ensure all documents are reviewed approved and signed off prior to issue
Maintain an audit-ready document filing system (electronic and hard copy where required)
Track overdue documents and follow up with responsible parties
Compile and issue meeting minutes and track action items
Support onboarding processes (medicals inductions access requests)
Assist with compiling weekly and monthly project reports
Maintain accurate records of correspondence for contractual purposes (EWs CEs RFIs PMIs)
Interface with client and contractor document controllers to ensure alignment
Support compliance with quality management systems and audit requirements
Key Attributes:
Technical Proficiency: Strong understanding of project administration and document control processes within mining and construction environments
Document Control: Proven ability to manage document control systems including revision control transmittals and document registers
Regulatory Knowledge: Understanding of client and project requirements including document compliance standards
Organisation: Strong administrative and coordination skills with the ability to manage multiple priorities
Communication Skills: Strong written and verbal communication including formal correspondence and report preparation
Attention to Detail: High level of accuracy in document management and record keeping
Problem-Solving: Ability to identify gaps in documentation and resolve issues proactively
Adaptability: Ability to work in a fast-paced site-based environment
Systems Knowledge: Experience working with SharePoint or similar document management systems
Qualifications
National Diploma or Certificate in Administration Project Management or related field
Document Control certification (advantageous)
Experience
Minimum 3 5 years experience in project administration
Proven experience in document control within mining construction or EPC/EPCM environments
Experience working on large-scale projects (advantageous)
Experience working in similar client environments advantageous
