Job Description:
TheMaintenance Administratoris responsible for all duties related to the Maintenance Department including ordering and maintaining proper stock of business supplies and food & beverage for the office overseeing incoming/outgoing mail and packages answering and directing phone calls receiving visitors and managing. This role reports to the Maintenance Manager and provides administrative support for the Bellingham location.
Duties and Responsibilities:
- Answer main phone line and direct callers to proper parties taking detailed messages for relevant individuals and departments as needed
- Greet announce and direct all office visitors
- Maintain organized inventory of all office and kitchen supplies and place orders on a regular basis
- Handle all incoming and outgoing mail and deliveries (USPS FedEx UPS etc.)
- Ensure shared maintenance office spaces are orderly and neat.
- Continuously update internal Corporate contact information including phone numbers group email distribution lists and business cards.
- File and maintain maintenance records including work/repair orders supplier and vendor invoices and core return invoices. Keeping files organized and current.
- Contact drivers as needed to arrange PM and repairs. the assets.
- Greet and interact with drivers that may returnto maintenance with minor issues outlow/flattires and other small issues and help schedule with technicians for quick turnaround/repair.
- Make vehicle/asset swaps and report driver/asset changes to dispatch/operations.
- Record odometer readings in Google Sheets to maintain a backup of PM service mileages for all assets. Use Samsara to obtain odometer readings.
- Verify that the work order information in Maximo Monitor is correct and schedule asset vehicle inspection reports.
- Contact drivers to return to base so defects can be repaired.
- Keep office and shop bulletin boards updated daily with required information.
- Receive parts or supply orders from vendors and direct to proper departments.
- Interact with outside vendors responsible for asset registrations and insurance.
- Work with the operations and safety departments to maintain compliance. assets in compliance with contract and state regulations.

Skills Required and Physical Demands:
- Ability to effectively communicate with customers vendors and all employees from drivers to executives
- Experienced with Google Office
- Excellent organization and multi-tasking skills with strong attention to detail
- Superior problem-solving skills with the ability to think on ones feet
- Polished and professional in both appearance and conduct
Education and Qualifications:
Hard requirements:
- A minimum of one year of professional experience in office administration reception customer service executive assistance or similar field.
Preferred requirements:
- Experience working in an office environment
- Bachelors degree or an Associate degree with equivalent experience is preferred but not required
