This role will be based in our Garden City Office on an in-office basis. Regular in-office presence is required for day-to-day operations as well as for team meetings training opportunities and relationship building.

Position Summary

The Legal Support Specialist provides high-level secretarial and administrative support attorneys in Real Estate Land Use and Litigation practice areas. Candidate should also be flexible to work overtime as needed. The ideal candidate possesses strong problem-solving and decision-making abilities ensuring efficiency and accuracy in every task. Key Responsibilities

  • Provides day-to-day administrative support to assigned attorneys developing familiarity with their practice areas clients and active matters.

  • Edits proofreads and processes legal documents including preparing correspondence memoranda applications documents presentations or other practice specific documents.

  • Coordinates prepares and files application materials to local government bodies zoning boards and planning commissions

  • Prepares and e-files pleadings and exhibits with courts.

  • Prepares zoning lists and coordinate mailings to residents

  • Helps create and maintain tracking tools for status of assignments and deadlines and provide updates upon request.

  • Provides status updates to attorneys on deadlines tasks and progress. Escalate issues or delays as needed.

  • Communicates with municipal office staff third party consultants and clients to request information and coordinate project details.

  • Manages attorney calendars including scheduling meetings and logistics (e.g. conference rooms video conferencing visitor access and catering requirements).

  • Assists with new client matter intake by submitting conflict check requests opening new matters and preparing draft engagement letters.

  • Provides support with billing activities including proofreading invoices and assisting with billing.

  • Coordinates with firm travel agency to book travel arrangements.

  • Prepares and submits expense reports and reimbursement requests accurately and timely.

  • Organizes and maintains electronic and paper legal files in accordance with designated filing standards.

Qualifications

Skills & Competencies

  • Strong attention to detail organizational and timemanagement skills.

  • Proficiency with rules for court document filings.

  • Responsive and professional with a focus on providing excellent client service.

  • Able to handle multiple tasks and meet deadlines in a fastpaced environment.

  • Willing to learn ask questions and follow instructions; completes tasks with reliable followup.

  • Clear written and verbal communication skills and a professional demeanor.

  • Able to work independently on routine tasks with minimal guidance and supervision.

  • Available to work a fulltime schedule with flexibility for occasional overtime or extended hours.

Education & Prior Experience

  • Bachelors Degree or equivalent experience is preferred

  • The ideal candidate will have 8 years of real estate land use ore litigation experience; law firm experience is preferred.

  • Knowledge of laws legal codes or agency rules of assigned practice group/dept.

Technology

  • Computer proficiency in Microsoft Office Suite applications including Word PowerPoint Excel and Outlook as well as document management and other office technologies

  • Experience with E-Filing procedures with State Federal courts.

The expected pay range for this position is:

$48.32- $55.07 per hour

Salary will be determined based upon education experience job related factors permitted by law internal equity and market data including geographic pay differentials in locations where market pay differs from the national average.
