SUMMARY: The Instructional Compliance & Program Coordinator supports the Chief Learning & Innovation Officer (CLIO) and instructional departments by managing compliance requirements coordinating instructional programs and events and serving as a liaison with the Arizona Department of Education (ADE) and related agencies.

This role ensures that instructional initiatives state and federal program requirements and reporting obligations are executed with accuracy timeliness and alignment to district priorities. Operating within the districts enterprise model the Coordinator reduces operational burden on instructional leaders by organizing systems tracking deliverables and ensuring coherence across curriculum assessment professional learning and innovation efforts.

REQUIRED QUALIFICATIONS:

  • AA degree
  • Minimum of 3 years of experience in program coordination compliance or administrative/project management
  • Demonstrated ability to manage multiple timelines projects and priorities with strong attention to detail
  • Strong organizational communication and problem-solving skills
  • Proficiency with Microsoft Office and/or Google Workspace

PREFERRED QUALIFICATIONS:

  • BA degree in job-related area
  • Experience in a K12 educational setting
  • Experience with ADE instructional programs reporting systems or grants
  • Familiarity with curriculum assessment accountability or professional learning systems
  • Experience supporting large-scale initiatives or cross-functional teams
  • Experience coordinating professional learning or district-level events

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Coordinate compliance requirements connected to instructional programs (e.g. federal programs state initiatives grants and instructional mandates)
  2. Develop and maintain comprehensive compliance calendars aligned to State agency timelines and instructional deliverables
  3. Track submissions monitor progress and ensure timely completion of all required reports and documentation
  4. Collaborate with instructional leaders (curriculum assessment professional learning special programs) to gather review and submit required materials
  5. Ensure alignment accuracy and consistency of instructional compliance documentation across departments
  6. Plan and coordinate instructional events including professional learning curriculum rollouts compliance trainings and program meetings
  7. Manage logistics including scheduling locations materials communication and day-of execution
  8. Ensure alignment of events to instructional priorities and coherence across departments
  9. Maintain a master instructional calendar to prevent conflicts and support strategic sequencing of initiatives
  10. Collaborate with departments to ensure events align with district priorities and are executed with consistency and quality
  11. Support project management of key instructional initiatives led by the CLIO
  12. Develop and maintain trackers systems and tools to ensure visibility of progress and deliverables
  13. Coordinate across departments to ensure instructional initiatives are aligned sequenced and executed effectively
  14. Identify opportunities to streamline processes and reduce duplication across instructional teams
  15. Draft organize and maintain clear documentation related to instructional compliance programs and initiatives
  16. Support internal communication to school leaders and staff regarding timelines expectations and program requirements
  17. Maintain organized systems for records submissions and program materials

SKILLS KNOWLEDGE AND ABILITIES:

Skills are required to perform multiple technical tasks with a need to periodically upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: using pertinent software applications. Strong project management and organizational systems thinking.

Knowledge is required to perform advanced math review and interpret highly technical information write technical materials and/or speak persuasively to implement desired actions; and understand complex multi-step oral and written instructions. Specific knowledge required to satisfactorily perform the functions of the job includes: pertinent codes policies regulations and/or laws; accounting procedures. Knowledge of instructional program compliance and reporting structures; Ability to interpret state and federal guidance and translate into actionable steps; Ability to build relationships across departments and with external agencies

High level of discretion and professionalism; Ability to operate independently while supporting a fast-paced instructional environment; Ability is required to schedule activities and/or meetings; often gather collate and/or classify data; and consider a variety of factors when using equipment. Flexibility is required to work with others; work with data utilizing defined but different processes; and operate equipment using standardized methods; work with data of widely varied types and/or purposes; and utilize a wide variety of types of job-related working with others problem solving is required to analyze issues and create action plans. Problem solving with data requires analysis based on organizational objectives; and problem solving with equipment is moderate. WORK ENVIRONMENT:

The usual and customary methods of performing the jobs functions require the following physical demands: occasional lifting carrying pushing and/or pulling; some stooping kneeling crouching and/or crawling; and some fine-finger dexterity. Generally the job requires 70% sitting 15% walking and 15% standing. The job is performed under a generally clean and healthy environment.
