Position Summary

TheAdministrative Assistantis responsible for supporting the General Manager and administration with any administrative or clerical functions. The Administrative Assistant provides highly responsive assistance to other departments and the General Manager.

This role will pay $18.00-$21.00 per hour.

This position will remain open until July 24th 2026.

About the Venue

The Tonys Pizza Events Center located in Salina Kansas is composed of a newly renovated 6500 seat multipurpose arena and the Great Plains Manufacturing Convention Hall an 18000 square foot convention space. Nicknamed Mid-Americas Meeting Place the Tonys Pizza Events Center provides Central Kansas a place to meet play and experience events that enhance living in and visiting the City of Salina.

Responsibilities

  • Provides administrative support to ensure efficient office operations.
  • Provide daily box office support selling tickets for upcoming events shows and concerts.
  • Maintains physical and digital filing systems.
  • Answers phone calls and directs callers to appropriate personnel schedules appointments signs for incoming packages and assists clients and other visitors.
  • Responds to emails and other digital queries and correspondence.
  • Manage calendars for senior staff including making travel arrangements.
  • Drafts and edits letters reports and other documents.
  • Inputs and updates information in databases and spreadsheets.
  • Prepares meeting agendas and takes meeting minutes.
  • Coordinates logistics for meetings including room setup and catering.
  • Uses word processing and presentation software to create and edit documents.
  • Operates and maintains office equipment including printers copiers and fax machines.
  • Works with maintenance staff and outside vendors to ensure office equipment is in good working order and office supplies are always on hand.
  • Researches as requested and compiles and summarizes information for reports or presentations.
  • Works closely with other administrative staff and supports other colleagues as needed.
  • Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
  • Ensures that deadlines are met and adapts to changing priorities.
  • Light housekeeping tasks within the front office.
  • Manage all aspects of customer service as it relates to both internal and external customers enforcing Oak View Groups principles and corporate initiatives.
  • Oversee Will Call for all ticketed events ensuring compliance with all relevant ticket laws.
  • Investigate and resolve ticket-related issues.
  • Presents a positive and professional image for the organization.

Qualifications

  • High school diploma or equivalent associates degree preferred but not required.
  • Past administrative experience or tenure in an office setting preferred but not required.
  • Digital literacy and research skills including the ability to analyze the reliability of information.
  • Familiarity with standard office platforms such as Microsoft Office.
  • Data management and entry skills including the ability to maintain and improve filing systems.
  • Strong communication and organizational skills.
  • Strong attention to detail.
  • Previous experience with supply management and inventory control a plus.
  • Interpersonal skills professional and courteous demeanor and excellent office and phone etiquette.
  • Ability to work well under pressure and navigate multiple deadlines.
  • Proactive approach to problem-solving and process improvement.
  • Ability to work well independently and in collaboration with others.
