The Americas Institutional Businesses (AIB)is responsible fordeveloping andmaintainingrelationships with sophisticated institutional investors. Across the USCanadaandLatAm AIB is focused on helping pensions universities non-profits family offices healthcaresystemsand other institutional investors meet their financial goals and serve their constituents and communities. We arecomprisedof teams of professionals withexpertisespanning many functions working together to meet the unique needs of our clients including relationship management marketing sales client service and product development and management. Professionals within AIB work together to deliver a full range of asset management risk management and advisory services supporting our clients investmentobjectives.
Job Description:
You will partner closely with seniorleaderson theFamily Capital Healthcare Foundations & Endowments team(FOHFE) managing complex administrative and business support needs. You are a self-starter with excellent anticipation and problem-solving skills whohashigh accountabilitystrong communicationskillsand the ability tooperateindependently.
Key Responsibilities:
Manage daily calendars forfive or more senior members of the teamdemonstratingflexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes.
Arrange and reserve conference rooms catering audio/video and other crucial services as needed for meetings and conferences.
Coordinate travel arrangements andsubmitexpense reportsin a timely mannerusing Concur.
Anticipate necessary background material ensuring team members have everything they need in advance of their meetings including a detailed travel itinerary air hotel cars directions presentation books verified meeting addresses contact information etc.
Drivekey team activities and events (such as team meetings strategy sessions conferences orderingsuppliesand social events).
Assistwith tracking client meetings follow-up items and other metrics inExcel and our CRM system(MSDynamics).
Manage tasks proactively and efficiently to ensure seamless coverage for all supported staff.
Build andmaintaingood business relationships with executives and administrative staff across theorganizations.
Represent the team by greeting visitors and guests and answering multiple phone lines.
Complete ad hoc administrative requests in a prompt and thorough manner.
Provide reciprocal coverage to other assistants.
Qualifications:
5 years of administrative experience preferably at a large global organization in the financial services industry.
Ability to work independently and assumeadditionalresponsibilities as.
A positive and can-do demeanor.
Desire and ability to provide outstanding service to internal and external clients.
Maintains focus withsenseof urgency while upholding respect for others.
Proven ability to manage competing priorities and meet tight deadlines.
Excellent communication skills (written and verbal).
Strong computer skills (MS Word Excel PowerPoint Outlook).
Deepen understanding of technology and AI tools to strengthen impact and credibility across the business.
Proficient with WebexMS TeamsZoomand Microsoft Copilot AI tools.
A high levelof attention to detail.
Discretion in dealing with confidential information in all aspects of work.
Bachelorsdegree is strongly preferred.
